Location:Surrey (Flex) Salary: £35k-£38k Level: Mid.

Client: We are looking for an experienced Technology Manager for a super cool, creative and caring client of ours. A full-service engagement agency delivering magic for audiences in virtual, hybrid and live events, strategy, content, production and technology. They are a communication, engagement and logistical agency for some of the world’s leading organizations.

Purpose:

To lead assigned technology projects or assigned technology workstreams configuring event technology solutions using the digital ecosystem of licensed and bespoke platforms. Working closely with the Delegate Management team to create intuitive & innovative platforms for pre-event registration, virtual and hybrid event environments and onsite technology solutions. Fulfilling a subject matter expert role in internal and external settings, driving clients and internal teams alike to embrace new technology solutions.

Responsibilities:

Delegate Technology-Specific Responsibilities and accountabilities:

  • High proficiency in the use of all preferred event technology software solutions including: Cvent, 6connex, Aventri, crowdcomms and bespoke web-based systems.

o Creating reports (standard- and client-specific)

o Creation, maintenance, and use of invitation lists o Intermediate capabilities with content update

o Understanding of multi-path registration flows incl. travel & hotel modules

o Creating & managing event emails

  • Strong data analysis skills - filtering and summarizing data
  • Advanced proficiency in Microsoft Excel
  • Ensure all websites are effectively tested and documented, including client feedback
  • Manage, check, and cleanse all external data received from clients and/or suppliers
  • Manage the development and launch of event technology solutions including email communications, registration websites, virtual environments, and apps.
  • Proficient understanding of HTML
  • Lead the creation & management of post-event surveys working with internal teams to produce actionable feedback results and analysis
  • Understanding and market awareness of other event technology solutions
  • Recommend functionalities and up-sell on additional plug-in technology
  • Set-up reports in accordance with the project requirements and ensure that templates are in place
  • Training and support of team members
  • Support (as required) with internal technology projects Governance
  • Work closely with the governance team to ensure all processes and templates are being used and communicate any changes promptly to teams
  • Ensure compliance with all client and company SLAs

Data Privacy

o Manage all client and attendee data in a sensitive and careful manner utilizing all quality and security processes in place

o Take responsibility for monitoring and training new team members where required on data-handling processes for assigned projects

o Promptly flag to line manager or operations lead any concerns regarding data privacy

  • Follow all company processes, including client specific PL360 templates and processes as required

Client Management

  • Lead client update calls for assigned projects confidently delivering the status of the Technology elements
  • Suggest and implement process improvements for client processes & procedures
  • Pro-actively communicate with clients to resolve queries/challenges on allocate.
  • Supporting as required in the preparation of RFP responses & pitch documents Operations and Project Delivery.
  • Attend 'kick-off’ meetings internally and externally to understand all requirements for assigned projects
  • Gain all required information for assigned projects based on detailed knowledge of processes and experience in Technology Projects
  • Produce project timeline in conjunction with assigned Project Team, including all major milestones for Technology elements
  • Ensure all supplier deadlines for assigned projects are met and develop excellent supplier relationships
  • Ensure that the project is delivered within time frames specified
  • Communicate project expectations to clients in a timely manner
  • Travel to assist client Events onsite (this could be worldwide)
  • Using a commercial mindset, support both company and clients in achieving the best value on assigned programmes, maximizing client cost savings and profit margins:

o Supplier negotiation

o Cost reduction o Efficiency savings General

  • Work collaboratively with Board, peers, and all teams to ensure effective delivery of all client projects, including travelling on site as required.
  • Attend company training days as and when required.
  • Attend company meetings as and when required.
  • Undertake any additional task as required to support the business.
