Due to extensive growth across the business, a fantastic opportunity has arisen to join a leading professional services company in London as they seek a Team Assistant to support their busy Client Team. The role has arisen due to exciting business growth, and you will be responsible for providing crucial administrative support to ensure the smooth functioning of the team and contribute to the overall efficiency of the business operations. Managing complex itineraries, you will need to be able to work to tight deadlines, prioritize conflicting commitments and possess excellent communication skills. The role sits within a friendly and supporting team, and provides an exciting and dynamic opportunity for someone who is interested in working closely in a team within a fast-paced environment.

Duties of the Team Assistant to include:

Administrative Support:

  • Manage calendars, schedule meetings, and coordinate travel arrangements for team members.
  • Handle incoming calls and correspondence, directing them to the appropriate parties.
  • Assist in preparing documents, reports, and presentations.

Team Coordination:

  • Facilitate communication and collaboration within the team.
  • Organize team events, workshops, and off-site activities.
  • Maintain team records, ensuring accuracy and confidentiality.

Office Management:

  • Oversee office supplies, equipment, and maintenance, ensuring a well-equipped and organized workspace.
  • Manage incoming and outgoing mail and packages.

Data Management:

  • Maintain and update databases, ensuring accuracy and completeness of information.
  • Assist in the preparation and distribution of internal communications.

Special Projects:

  • Support ad-hoc projects and initiatives as assigned.
  • Provide assistance with research, data gathering, and analysis.

Requirements for the successful Team Assistant:

  • Strong interpersonal and communication skills (both verbal and written)
  • Proven experience as an administrative or team assistant.
  • Excellent organizational and time-management skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Detail-oriented and proactive problem-solving skills.
  • Ability to work quickly and efficiently to tight deadlines, whilst remaining professional in a pressured environment
