Can you manage the needs and expectations of customers with tact and diplomacy so that you can respond or direct them to the correct team or contact? Are you a strong team player, confident in your own abilities? As part of the busy Sales & Subscriptions Department, you will be the first point of contact for many of the company’s customers and will be responsible for generating invoices, assisting with the distribution process, and managing the Company’s permissions enquires.

This is a part time, 12-month fixed term contract, offering 16 hours per week over two full days. One of these days must be a Tuesday. In return you will get 27 days holiday + bank holidays, a non-contributory pension (8% of salary), onsite parking and excellent public transport links.

Duties & Responsibilities of the Sales & Customer Service Administrator (part time):

  • Exceptional organisational skills and the ability to co-ordinate multiple activities successfully, to deliver to tight deadlines.
  • General updating of customer accounts on the subscription system, the CRM system, and the online access system.
  • Generate invoices.
  • Work with all sales related systems ensuring effective sales operations.
  • Manage generation of label files for dispatch of current, back, and single issues.
  • Investigate and fulfil claims for undelivered journals.
  • Answer client enquiries, manage CCC (permissions agent), monitor charges.
  • Manage reporting as required.
  • General administration support including email and data cleansing.
  • Carry out any other duties and projects as and when required.

What you will need to succeed as the Sales & Customer Service Administrator (part time):

  • Previous experience desirable in academic publishing (No selling required)
  • Excellent Microsoft Excel and Word, PowerPoint skills
  • High level of accuracy, including excellent numeracy skills and attention to detail.
  • Proactive and flexible approach to work.
  • Proven ability to work well in a team.
  • Professional, discrete, trustworthy, and reliable.
  • Excellent communication and customer service skills, both written and verbal.
  • Strong problem-solving skills.
  • Experienced in developing reports and supporting sales processes.
  • Strong organisational skills and ability to work under pressure, prioritise and to meet deadlines.
  • Willingness to improve or learn new knowledge and skills.
