Publishing Editorial Administrator

Do you have strong administration experience and enjoy working as part of a team?

This highly regarded publishing organisation is looking to appoint an experienced Publishing Editorial Administrator to take responsibility for the administration of their journal peer-review system. You will ensure that the journal administrative procedures meet the needs of authors, referees, and editors. The successful candidate will also contribute to the daily administration of journal material by providing support to the team. The company offers an excellent salary and benefits package with this permanent position. This is a hybrid role, with 3 days a week working in the office and two days a week from home.

Responsibilities of the Publishing Editorial Administrator include:

  • Provide first point of contact for authors, reviewers, readers and editors
  • Forward pre-submission enquiries to the appropriate Editor
  • Check-in manuscripts via manuscript tracking system using appropriate checklists
  • Ensure that appropriate review reminders are sent out
  • Check and send out decision letter to author (if requested by Monitoring Editor)
  • Send files to XML supplier for manuscript formatting
  • Send figures to Production for formatting and ethics checking
  • Keep people records up-to-date and archive published articles regularly
  • Ensure efficient and accurate record keeping using the manuscript tracking system
  • Generate statistics and reports, as required
  • Take a team-oriented approach to work

You will have demonstrable experience of working in an office department, ideally within a publishing environment and will have excellent IT skills, ideally with experience of working with databases. Experience of working with MS Excel will be a distinct advantage. Strong written and verbal communication skills will be important as will be your exceptional time-management and organisational skills.
