Project Tracking Specialist

Rickmansworth | Hybrid (3 days in office)

Up to £45,000 DOE

A Project Tracking Specialist is required to join a dynamic workplace technology company that provides a comprehensive platform designed to deliver actionable workplace insights. This platform includes a real-time analytics system, workplace sensors, an employee experience app, signage solutions, and space management tools.

The Role

As a Project Tracking Specialist, you will be responsible for establishing procedures and best practices for using project tracking tools, ensuring clarity and adherence to defined processes and policies, measuring objectives and task progression, providing expertise for effective decision-making, conducting training sessions and creating comprehensive documentation, developing dashboards and reports to enhance efficiency, maintaining data accuracy within tracking tools, serving as a primary point of contact for tool-related queries, collaborating on test case design and execution, testing products and providing feedback, identifying opportunities for process improvements, fostering collaboration among teams, managing information flow and knowledge, and overall setup and management of project tracking processes in JIRA and ClickUp.

Some of what you will be doing:

  • Defining procedures, standards, and best practices for the utilization of project tracking tools.
  • Supporting and communicating defined processes and policies to ensure clarity and adherence.
  • Creating processes to measure objectives, performance levels, and task progression.
  • Providing expertise in understanding the underlying knowledge necessary for effective decision-making.
  • Conducting training sessions for internal users and producing comprehensive documentation for project tracking tools.
  • Developing dashboards, reports, permission sets, automation, and custom workflows to enhance efficiency.
  • Ensuring data accuracy, currency, and tracking within the project tracking tools.
  • Serving as the go-to person for queries and issues related to project tracking tools, offering insights into both how and why processes are carried out.
  • Collaborating on the design and execution of test cases within project tracking tools, and validating executed test results.
  • Testing products and services during project/program UAT, evaluating for accuracy, usability, and providing feedback.
  • Identifying opportunities for implementing more efficient processes and systems across teams, fostering collaboration with key stakeholders.
  • Coordinating information flow and knowledge management within the team, supporting the creation of a cohesive communication culture.
  • Taking overall responsibility for setting up the project tracking process within JIRA and ClickUp.

Ideally, your skills and experience will include:

  • 5+ years of professional experience in complex project coordination and cross-functional projects.
  • Strong organizational and planning skills.
  • Excellent written and verbal communication skills.
  • Proficiency in project management tools such as ClickUp and JIRA Service Desk.
  • Proven ability to break down complex problems and present data-informed solutions.
  • Previous experience as a Subject Matter Expert of project management tools.
  • Ability to work well in ambiguous situations and prioritise effectively.
  • Quick learner with the ability to self-educate on complex topics.
  • Extreme ownership and reliability in delivery and communication.
  • Previous experience working in a leading startup or scale-up environment.
  • Knowledge of custom scripts, debugging, and front-end coding.
  • Familiarity with agile methodologies and project management frameworks.
  • Experience with implementing workflow automation and custom features within project management tools.
