We are currently recruiting for an experienced Programme Administrator with experience of Placements to join a n esteemed London based University . The successful candidate will work closely with academic staff to support students' placements with primary and secondary partners schools. You will contribute to the provision of an efficient, effective, accurate and responsive administrative support service. The Programme Administrator will be part of work with our School Partnership Office team and will work closely with new and existing schools' partners to place students each year. It is essential you have strong IT skills to include Excel and strong organisational skills.

MAIN DUTIES AND RESPONSIBILITIES

  • Place and support the Primary and Secondary school placements.
  • Maintain effective and beneficial relations with existing partner schools' network and to support Partner activities.
  • Maintain, analyse and report on data stored in the system.
  • Administer academic programmes with a consistent and robust approach whilst adhering to University Academic Regulations and processes.
  • Provide excellent customer service, handling enquiries relating to academic programmes, offering advice and guidance to staff and students.
  • Maintain the New Year Process setting up the year ahead including assessments for each cohort, organise the supervision of students by University staff and manage the hours allocated.
  • Assist in maintaining an online system that allows tutors, mentors and trainees to set targets, review progress and record evidence of development.
  • Maintain and archive paper and electronic records as required, programme information, records of student assessment processes and records of School meetings.
  • Take an active role in all aspects of the student cycle including pre-registration, enrolment and induction activities, attendance monitoring, assessment and retention activities.
  • Organise School meetings as required, booking rooms, arranging catering, compiling agendas, generating and circulating papers, taking minutes and oversee follow-up actions.
  • Process day-to-day financial requests including procurement of consumables, raising purchase orders, maintaining stock levels, arranging travel, processing staff travel claims and arranging internal payments to Departments.


PERSON SPECIFICATION

  • A thorough understanding of the student-related academic cycle and administrative processes within Higher Education.
  • Be proficient in the use of MS Office, and in particular high level skills in Excel to manage complex spreadsheets and data.
  • Ability to learn new administrative systems as appropriate and take a proactive approach to managing academic programmes.
  • Numeracy skills to be able to manage spreadsheets, formulas and procurement.
  • Ability to pay close attention to detail and manage data accurately and efficiently.
  • Ability to cope with conflicting demands and prioritise their own work effectively.
  • Able to use initiative and work independently, being a self-starter and positively influencing others through a proactive approach.
  • Previous administrative experience gained within a similar role within Higher Education (particularly supporting non-standard programmes).
  • To be able to communicate in a clear, accurate and professional manner, both verbally and in writing to a range of internal and external clients.
  • High level written communication skills to take minutes of meetings accurately.
  • To be able to complete and update reports, pro-formas, letters, emails, web pages accurately and ensure good presentation.
