Procurement management ensures that all items and services are properly acquired so that projects and processes can proceed efficiently and successfully. One of the most important procurement department functions is to purchase goods through strategic planning at the best possible cost. Monitor and document every step of the procurement process.

Management of Stores:

  • Maintaining stores to a high level utilising a stock rotation system ensuring efficiency
  • Managing process for goods both in and out adhering to FIFO principal
  • Ensuring minimum stock levels are held & maintained.
  • Quarterly stock takes to be carried out and diarised.
  • Ensuring year end stock takes are carried out.
  • Allocating returns where required within a timely manner ensuring Credit notes are received.
  • Ensuring project materials are organised and allocated for collection through speaking with the PM’s.
  • Liaising with project managers on a weekly basis
  • Flag project risks once tech subs and design have been agreed helping to mitigate any delays and optimising on best buy.
  • Send a monthly updated list of stock to PM’s.
  • Maintaining quarantine area for faulty parts and materials
  • Risk management
  • Monthly update of supplier catalogues and advising of significant changes in pricing to effectively support the sales team.
  • When issuing equipment, a bill of materials is to be provided and signed by whomever is collecting the equipment for accurate record keeping of stock allocation.
  • Ensuring parts returned from site have a bill of equipment and are allocated back into stock from the respective project.

Sales/Purchases:

  • Approval of deliveries
  • Ensuring quantities are as per order. Reporting & resolving any delivery discrepancies
  • Delivery notes from suppliers are signed.
  • Allocating invoices to purchase order values.
  • Liaising with external delivery companies to ensure swift deliveries to clients and reactive bike delivery for site-based operatives where required.
  • Placing orders for materials to meet stock & project requirements.
  • Supplier relationship management and optimization
  • Identify and manage a list of approved suppliers and contact information.
  • Green purchasing in line with ISO 14001:2015
  • Total quality management ensuring quality of goods is not compromised.
  • Analyse organizational spend with the help of stakeholders.

Engineering:

  • Allocation of and accurate record keeping of engineer’s uniforms and ensuring replenishment of uniforms is readily available.
  • Allocation of engineers PPE and ensuring replenishment of PPE is readily available
  • Allocation of engineer’s tools and plant and accurate record keeping on SimPro under each engineer
  • Allocation of service engineer’s replacement stock and accurate record keeping on SimPro under each engineer
  • Proactively reacting to engineer requests on parts availability.
  • Ensuring engineers have access equipment provided when required.
  • Monthly Vehicle Inspections and accurate record keeping of inspections to be stored on SimPro, highlighting any anomalies to your line manager.

Personal Specification:

This is a standalone role within the Customer Care Team. You will be the main contact for suppliers so must be personable with great communication skills. You will have great organisational skills, thrive working in a fast-paced environment and have a can do organised approach to work.

Desirable:

Familiarity with using a CRM system (SimPro)

Knowledge of Security Systems and Fire Equipment Manual Handling
