Personal Executive to Director

Location: Loughton

Salary: £35,000 - £50,000 per annum

An exciting opportunity has arisen for an experienced and efficient PA to work closely with a well-established Director based in the UK. 

You will assist the Director in all aspects of administrative work relating to business and personal affairs.  This includes taking a lead in the successful management of a residential property portfolio in London, UK. 

Responsible to the Director, you will proactively deal with a variety of queries as they arise, liaising with the Director as to any queries you may have. To provide effective and efficient high-level executive support including the prioritisation of work, diary management, meetings management and communication, document production, quality assurance and governance. Ensuring all aspects of the administration, planning and coordination of work streams is managed effectively and efficiently.

Key Responsibilities

Personal Executive

  • Act as the first point of contact for Directors and maintain the effective working of their offices.
  • Maintain the highest level of confidentiality and adherence to policies and procedures.
  • Manage diaries by scheduling, prioritising, and managing appointments, travel arrangements and papers for meetings.
  • Managing correspondence and E mails, track incoming and outgoing correspondence and E mails and ensure replies are produced within the required timeframe.
  • Read and prioritise incoming correspondence and prepare draft responses as appropriate. Ensure that cyclical and management deadlines for reports, reviews, budgets are met.
  • Establish and maintain systems and procedures to support the efficient running of the office.
  • Maintain effective communication and working relationships with key partners and stakeholders at an operational level, the organisation’s senior management team and key internal and external stakeholders.
  • Provide advice and support to stakeholders. Undertake research and other activities as required.
  • Attend specific meetings and take notes, draft minutes and action recommendations as required.
  • Provide support to other members of the Directorates as necessary.
  • Manage and organise external/internal events as required Corporate Accountabilities:
  • Act as a role model for Ofqual’s values and professional standards.
  • Support the Directorate with the delivery of the business and corporate plan.

Property Management

  • Responding to routine tenant enquiries/maintenance reports
  • Liaising with contractors to undertake repairs and routine maintenance.
  • Liaising with External professionals such us Architect, Solicitor Etc.
  • Drawing up tenancy agreements/renewals
  • Protecting tenant deposits
  • Ensuring the portfolio is compliant by arranging gas and electrical inspections.
  • Arranging check in and check out inventories as needed.
  • Maintaining communication with Landlords and tenants through the duration of the tenancy
  • Other tasks as reasonably requested.

Skills and Experience

  • At least 3 years’ experience in a similar role
  • Excellent written and spoken English.
  • Good knowledge of Microsoft Office – especially Word, Excel and Outlook
  • Understanding of office filing systems – electronic and paper
  • Proven ability to multitask and prioritise workload.
  • Proactive/able to work under own initiative and without direct supervision.

  • Willingness to be flexible.
  • University Degree Preferable.
