A long established, well respected and friendly City based IFA are seeking to recruit a talented Personal Assistant/Client Support Associate to join their team and provide crucial support to a Senior Financial Planner. Our client offers a competitive salary up to £35,000, bonuses, comprehensive benefits, and a hybrid working model.


We are searching for a dedicated Personal Assistant who will work closely with a Senior Financial Planner, managing administrative tasks and providing essential support in various financial planning activities. The ideal candidate will exhibit exceptional organisational skills, attention to detail, initiative, adaptability, and a commitment to delivering unwavering client service excellence. This role requires autonomy while fostering collaboration across multiple teams and managing competing priorities effectively under pressure while maintaining high-quality standards.


Key Responsibilities:

  • All diary management and administrative duties for Senior Financial Planner
    Assist in preparing for various meetings, including Client Annual Reviews.
  • Handle the submission and tracking of new business activities such as opening new Investment Accounts and transfers.
  • Prepare and submit new protection cases, run quotes, and create quote presentations.
  • Liaise with multiple teams across the business, including Planners, Investment Team, Adviser Team, Business Development, and Client Services Managers.
  • Organize Introducer events, record attendees, and manage business lead outcomes on CURO.
  • Maintain database administration tasks, including updating all client records on CURO and saving emails to file.
  • Cultivate relationships with clients, introducers, and their PA’s.
  • Assist with typing, printing, and formatting letters, agendas, reports, and presentations.
  • Address any IT issues promptly and report suspicious activity to Chalkline IT Support.
  • Daily preparation of the Director’s Call List and ensure follow-ups are booked.
  • Monitor and take action on any Experian Fraud alerts for the Director.
  • Handle the submission of CPD Certificates.
  • Distribute articles in which the Director has appeared or that are informative for clients, monitoring communication via CURO.


Requirements:

  • Proven experience as a Personal Assistant or similar role, preferably within the financial services industry.
  • Excellent organizational skills and attention to detail.
  • Strong initiative, adaptability, and a commitment to unwavering client service excellence.
  • Ability to work autonomously while also collaborating effectively across teams.
  • Proficiency in handling competing priorities and working effectively under pressure.
  • Strong written and verbal communication skills.
  • Ability to build and maintain professional relationships with clients and colleagues.
  • Proficiency in Microsoft Office Suite and familiarity with CURO or similar CRM systems.
  • Flexibility to undertake standard financial planning support duties alongside traditional PA responsibilities.
