Role Overview : 

An exciting opportunity has arisen in the Savills office in the centre of Truro for an experienced, motivated and reliable individual to join the team as a PA/Team Administrator This is a varied but rewarding role; ideal for someone who enjoys, and is comfortable, working with numbers and delivering first class client service.

Key Responsibilities : 

  • To provide support to the Head of Office and assist the Estate Management team.
  • Set up and manage the department meetings, including taking Minutes and general diary management.
  • Manage and book travel arrangements where required
  • Typing and proof reading of documents, especially Trustees' reports
  • Raising Purchase Orders, processing invoices and expense claim
  • Invoicing including job time and expenses recovery and regular reconciliations of client's fees based on database reports.
  • Being proactive with reviewing debtors, aged time and disbursements
  • Liaising with clients, tenants and contractors
  • Dealing with contractors in an emergency and creating works orders as appropriate.
  • Maintaining client and tenant databases
  • Proactive use of social media for the Rural department
  • Answering the telephone and assisting with queries where possible, and/or taking accurate messages.

The above is not an exhaustive list of duties and you will be expected to perform different tasks as required.

Key Skills : 

  •  Previous administration experience is essential
  • Experience working with numbers is required and specific training will be provided
  • Strong communication skills (both verbal and written)
  • Highly organised, flexible and able to clearly prioritise duties and meet deadlines
  • Ability to work under pressure
  • Proficient in the use of Microsoft Excel, Word and Outlook and with the ability to pick up new software quickly.
  • A frequent and agile user of social media, with a good understanding of its increasing effectiveness in business.
  • Strong typing skills

Team Overview : 

The successful candidate will be joining the Truro Rural team that has 12 staff members across various disciplines which include Estate Management, Rural Professional and Architecture & Building Surveying. In addition, the office has a Residential Agency team dealing with properties across Cornwall.
