Personnel Visa Officer

Location: Aberdeen

We are seeking a dedicated and detail-oriented Personnel Visa Officer to join our team. As the focal point for all Visa and Immigration matters related to our allocated installations, you will play a crucial role in ensuring compliance and efficiency.

Responsibilities:

  • Visa and Work Permit Submissions: On a daily basis, you will be responsible for submitting Visa and Work Permits to Immigration authorities worldwide.
  • Expiration Tracking: Monitor Visa and Work Permit expirations and assist personnel with renewals, both short-term and long-term, for the allocated installation(s).
  • Visa Joining Instructions: Ensure that anyone joining the allocated installation(s) receives the necessary Visa joining instructions.
  • Documentation Preparation: Prepare letters of invitation and OKTB (Other Known Traveler Benefits) documentation for allocated installation(s).
  • Visa Appointment Coordination: Coordinate all travel arrangements for applicants attending Visa appointments.
  • Expense Verification: Verify and approve all Visa expenses, submitting Payroll reports by the specified deadlines.
  • Database Maintenance: Assist in maintaining a comprehensive database and integrating technologies to ensure easy reference and accessibility of Visa, Immigration, and Passport information.
  • Additional Duties: Perform any other duties as required by the Personnel Visa Supervisor.

Working Hours:

  • Monday to Thursday: 8:00 am – 4:30 pm with a 30-minute lunch break (flexible start time of 8:30 am or extended lunch if needed).
  • Friday: 8:00 am – 12:00 pm.

Working Arrangement:

  • Initially, the applicant will work 100% in the office to get up to speed with the position.
  • Hybrid working (3 days in the office, 2 days at home) will be offered once fully acclimated.
