Swift placements are working on behalf of a client based in Preston who are recruiting for an Office Manager. The Office Manager will be responsible for overseeing and coordinating daily office operations, ensuring organisational efficiency, and providing support to various departments within the company. The ideal candidate will possess strong organisational and communication skills, have a proactive approach to problem-solving, and be capable of managing multiple tasks and priorities effectively.

Full time permanent position

Monday- Friday

Location: Preston PR1

Salary: £25,000- £30,000 DOE!

Hours: 9:00- 5:00pm

20 days holidays+ 8 Bank Holidays

Fully office based.

Key Responsibilities:

Administrative Support:

  • The Office Manager will provide administrative support to executives and other team members as needed.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Handle incoming calls, emails, and correspondence.

Office Operations:

  • The Office Manager will oversee daily office operations to ensure a smooth and efficient workflow.
  • The Office Manager will manage office supplies, equipment, and facilities, coordinating maintenance and repairs as necessary.
  • Implement and maintain office policies and procedures.
  • All-around secretarial duties.

Human Resources Assistance:

  • Assist in the recruitment process by coordinating interviews, onboarding new employees, and maintaining personnel records.
  • Support HR functions such as timekeeping, attendance tracking, and benefits administration.

Communication and Coordination:

  • Serve as a liaison between departments, ensuring effective communication and collaboration.
  • Coordinate internal and external events, conferences, and meetings.

Financial Administration:

  • Assist in budget tracking and expense management.
  • Process invoices, manage petty cash, and reconcile financial records.

Health and Safety Compliance:

  • Ensure compliance with health and safety regulations in the workplace.
  • Implement and maintain emergency procedures and protocols.

Project Management:

  • Support project management activities by tracking deadlines, milestones, and deliverables.
  • Collaborate with team members to ensure project objectives are met.

Qualifications:

  • Bachelor’s degree in business administration, Management, or a related field (or equivalent work experience).
  • Proven experience as an Office Manager
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and office management software.
  • Knowledge of human resources practices and procedures.
  • Ability to handle sensitive information with discretion.
  • Familiarity with budgeting and financial processes.

Preferred Skills:

  • Experience with project management tools.
  • Knowledge of health and safety regulations.
  • Familiarity with HR software systems.
