Job summary
As a member of the Medical Secretarial Team, to provide a smooth and efficient, high quality secretarial and administrative support function to the consultants and the doctors in the consultant’s team. The Medical Secretaries are an important part of a team and are very much in the front line with the patients and their families.
Key Responsibilities:
- To produce documents such as clinic letters, admission and discharge summaries, A&E assessments, domiciliary assessments, ward assessments, Mental Health Act reports, memoranda, general correspondence, minutes and presentations, etc., using audio, shorthand or copy typing skills as required.
- To react quickly to urgent situations in order to coordinate an excellent service to patients/their carers, health professionals and other professional bodies.
- Excellent telephone skills are required to communicate with patients with acute mental health problems, including dementia, psychosis, drug and alcohol problems. The medical secretary is the first point of contact for these patients.
- To maintain the upkeep of the Consultant diary, to arrange meetings on their behalf, including the handling of associated administration such as room bookings, hospitality, the preparation and circulation of agendas.
- To act as a point of contact with GPs when they request home visits to patients (domiciliary visits). This involves obtaining accurate, up-to-date information on the patient with regard to their problems, giving the Consultant some past history, details of medication, etc. This also includes liaising with family members, carers, residential homes, etc.
- To arrange outpatient appointments.
- To record new patient referrals.
- To act as minute secretary at meetings/case conferences/working groups etc. when required, and to ensure that appropriate administrative follow-up action is taken.
- To coordinate actions for patients requiring admission, including liaison with the necessary professionals and the ward.
- To assist with the collection and collation of data and information, including statistical information relevant to the consultant’s scope of work to assist them to carry out their work efficiently
Education, Qualifications and Skills:
- NHS experience
- Diary management experience
- Proficient use of System One
- Extremely calm and patient as you will be dealing with mental health patients, amongst others
- Good, varied medical terminology
- Excellent audio typing skills
- Appreciation and awareness of the data protection act
- Excellent oral and written communication and interpersonal skills
- Ability to work independently and take responsibility for day to day workload
