This is a logistics Administrator with trade compliance / freight forwarding

Responsibility for the management of freight to and from the company by liaising with Logistics Service Providers and freight forwarders.

Organise transportation activities, managing information accrued from point of origin to delivery, orchestrating transportation movements, and arranging for services as necessary.

Duties and Responsibilities

  • Follow strict guidelines relevant to customs, international trade compliance & ensure 100% compliance through the process
  • Understand and comply with UK-EU / ROW regulatory requirements, HMRC guidelines and policies.
  • Ensure record-keeping and accurate maintenance of the Audit trail for all Import/Export transactions
  • Liaise with freight forwarders and provide accurate clearance instructions for inbound-outbound shipments

· Have a clear understanding of CDSs, EADs, CPCs, MSS Data, import & export regimes, Simplified Authorisations / Special Procedures (i.e. IPR, OPR etc…), alongside Product Classification (HS codes, Dual use classification)

· Check and Map CDSs & EADs to the monthly MSS reports from HMRC to maintain the audit trail

· Check and Log Freight, Duty & VAT invoices on receipt

  • Regular liaison with other internal departments regarding compliance issues
  • Ensure that service issues or compliance failures are raised immediately with the accountable manager and actioned in a timely manner
  • Create commercial invoices
  • Collate transport quotations and arrange deliveries to and from company warehouse.

· Manage expected delivery dates and co-ordinate import/clearance process

  • Approve invoices from freight forwarders and customs brokers

· Develop collaborative and helpful relationships with suppliers, service providers, and internal team members to deliver the best outcome for the business and our customers

· Minimum of 1-2 years’ administrative experience of working in a trade compliance / logistics environment with an understanding of Incoterms

  • Clear understanding of customs procedures and product classification
  • Dealing with Fast Parcel Operators / LSPs and working to strict deadlines
  • Knowledge of MS Office applications
  • Knowledge of SAP an advantage
  • Experience in the aviation industry and landing gear services an advantage
  • Knowledge in EAR (Desirable)

  • Experience of working in a busy work environment

· Ability to communicate effectively and efficiently across all levels of the matrix organisation

· Responsible, confident & able to work under pressure

  • Highly organized with key attention to detail and administrative skills
  • Must be deemed suitable to work within a known consignor area and complete the required background checks
