Brief Description:

This position is part of the global Quality organization. The primary role of the Learning Management System (LMS) Specialist is to support and maintain the LMS data so that training is in compliance with regulations and business needs. This includes triage and action of JazzLearn business requests (ServiceNow), inspection support, system releases and CAB, system/business projects as required by Jazz.   Responsibilities are outlined below however the LMS Specialist may be required to support projects, continuous improvements, and other activities to deliver on the GxP L&D roadmap or emerging business needs.

Essential Functions/Responsibilities

  • Maintain accurate LMS data so that it is compliant with business processes, meets configuration requirements and is GxP compliant.
  • Responsible for day-to-day administration and governance of the LMS system including but not limited to course generation, scheduling of classes, content management, curricula creation and management and reporting.  
  • Support quarterly management release activities for the “JazzLearn” LMS (Cornerstone SBX – formerly known as SABA Cloud VEMS) including business analysis, risk assessment, system validation, management of system changes and maintenance of learning processes.
  • Support Training Needs Analysis for the development of training courses to support emerging business needs for Jazz, in collaboration with business owners for content and Training Coordinators.
  • Provide technical support for learners including issue triage and troubleshooting.
  • Support all continuous improvement activities for the Jazz training process to improve process efficiencies while ensuring compliance with GxP regulations.
  • Support the identification of individual and general training needs for Jazz in collaboration with the Training Coordinators so that training is aligned with Job Roles and PRs in JazzLearn and is assigned currently to maintain compliance.
  • Manage and maintain data sets for JazzLearn domains.  
  • Support various projects related to the LMS & Learning Capability building as required and in line with changing business requirements.
  • Develop/Maintain appropriate SOP/WIs related to the LMS and training process at Jazz.
  • Manage deviations related to the LMS including development and delivery of robust CAPA to ensure deviations do not recur.
  • Draft and circulate system level communications, as required.
  • Train and coach LMS users according to their specific roles, access level and training needs (e.g. Training Coordinators, Instructors and LMS administrators).
  • Report on key metrics for JazzLearn (ServiceNow) and training completion and evolve these as the business matures.
  • Align processes for metrics reporting for Tableau or other training Dashboards.
  • Generate reports for inspections as requested by the business.
  • Consult & engage with internal resources to ensure the L&D team service delivery continues to meet customer requirements and is in line with the L&D service model.

Required Knowledge, Skills, and Abilities

  • Experience working with Learning Management Systems, (Cornerstone SBX a distinct  advantage) building curricula for individual training plans and report generation.
  • Strong computer literacy, in particular Excel, PowerPoint and Word.
  • Organised, with good time management and prioritization
  • A true self starter, who works effectively on their own initiative
  • Ability to collaborate across multiple functions with customer service mentality
  • Ability to build trusting relationships whilst working remotely
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and ability to interact effectively with all levels of employees, with a high customer service focus.
  • Collaborative team player with effective team working skills, and the ability to work independently as required.
  • Highly committed, demonstrating patience, enthusiasm and energetic approach to the role

Required/Preferred Education and Licenses

  • Primary degree in Science or Business or a related discipline
  • Learning & Development professional qualification or 2 years relevant experience
