Legal Secretary (Private Wealth & Inheritance)

Location: Farnborough

Salary: up to £28,000 + Benefits + Bonus

Hours: Monday - Friday

Our client, an acclaimed full-service law firm recognised by Legal 500, is actively seeking a Legal Secretary to work within their busy Private Wealth & Inheritance Department.

This role is part of a support team that provides secretarial and administrative support to 14 fee earners, ensuring that they can focus on the legal work and provide an efficient friendly and professional service to clients.

Duties:

Serve as the initial point of contact for new client enquiries, ensuring a positive representation of the firm. This involves gathering pertinent information, assessing the matter, and referring it to the Head of Department for allocation.

Manage diaries, including scheduling appointments and meeting room bookings, organising team meetings, and tracking key dates and deadlines.

Handle file administration tasks such as opening files, ensuring compliance with AML regulations, maintaining files, closing files, archiving, and managing Will storage.

Act as a witness for Will signings and manage collections of Wills and LPAs.

Perform secretarial duties, including proficiency with digital dictation, preparing precedent letters, and supporting multiple fee earners in a busy department.

Ensure compliance with firm and departmental systems and procedures, staying up-to-date with knowledge and assisting team members as needed.

Administer billing and accounts, including generating bills and statements of account, coordinating with fee earners and clients regarding money on account, and collaborating with the accounts team.

Assist with business development administration by logging and analysing enquiries, conversion rates, and sources of work.

Produce reports for senior members of the department to share with the Partners of the Firm on department figures.

Person Specification:

Strong administrative skills with a focus on accuracy and efficiency in a fast-paced environment.

Highly organised with the ability to prioritise tasks effectively and manage work from multiple fee earners.

Proactive approach to tasks, demonstrating initiative and awareness of deadlines while staying within the scope of the role.

IT literate and adaptable, willing to learn and utilise systems in accordance with firm guidelines.

Familiarity with anti-money laundering requirements and good compliance knowledge.

Excellent client service skills, adept at handling new enquiries, gathering information efficiently, and upselling where appropriate.

Effective communication skills with the ability to build rapport, maintain professionalism, and provide constructive feedback.

Previous experience in Private Wealth & Inheritance is desirable, although experience in other legal secretarial roles will be considered.

Good commercial awareness, understanding the importance of efficiency, quality of work, and compliance in delivering services to clients and maximising profitability.
