Our client is seeking an enthusiastic and experienced individual to join the Conveyancing Department in their Swindon office. There are great rewards and job satisfaction of being in such a varied role in a vibrant law firm.

Tasks & Key Responsibilities:

  • Provide support for the day-to-day office tasks of the fee earner that you work with such as organising diaries, taking enquiries from clients and other general administration duties, including filing, photocopying and faxing.
  • To support the Fee Earner(s) within the office, typing legal documents, letters and notes at excellent speed.
  • Ability to take and record messages and instructions accurately from clients and other parties in a professional manner.
  • Experience and ability to use common Microsoft Office packages and a case management system.
  • Use of the correct office systems.
  • To adopt a professional telephone manner and appropriate dress code.
  • Ability to work independently and as part of a team as required.
  • Welcoming clients in person if safe to do so.
  • Maintaining confidentiality and ensuring the highest level of client care.
  • Taking telephone calls and messages for the firm and covering Reception duties as and when required if necessary.
  • Maintain quality and service standards.
  • Demonstrate a flexible and adaptable approach towards changing business needs.
  • Demonstrate a welcoming attitude.
  • At all times to act in accordance with the requirements of a professional firm.

Role:

The role is a for a Secretary/Legal Assistant in the Litigation Department of a busy Solicitors office. You will be required to provide administrative support to a Partner & Solicitor or Solicitors.

It will involve typing (either copy or audio from dictation) letters, Court documents, briefs and attendance notes. You will also be expected to deal with clients and other parties on the telephone and in person within COVID 19 regulations.

You will be required to demonstrate a wide variety of administrative support skills throughout your role as you adapt to the needs of the expanding office. You will need to be punctual, polite and of smart appearance and demonstrate a welcoming and can-do attitude.

Skills and expertise:

The ideal applicant will possess the following skills and expertise:

  • Good keyboard skills and an ability to type.
  • Experience of using Microsoft Office including Word, Excel and Outlook.
  • Experience of using Visual Files (case management system) and BigHand desirable but not essential.
  • Strong communication skills to enable you to understand the need of the clients and accurately relay messages.
  • Excellent attention to detail and work ethic.
  • Ability to work well in a team but also on your own initiative within closely defined guidelines.
  • Keen to play a key role and form part of a vibrant law firm in Swindon.

Salary and benefits:

The position is offered on a full time basis. The appointed person will be based at our office in Swindon. We are a friendly firm with a flexible approach.

  • Salary according to experience.
  • 25 days annual leave plus normal Bank Holidays.
  • Pension.
