Job Title: Conveyancing Legal Assistant/Paralegal

Location: Edgbaston

Summary:We are seeking a diligent and skilled Conveyancing Legal Assistant/ Paralegal to join our clients dynamic legal team. As a vital support pillar for their solicitors, you will play a key role in ensuring the seamless operation of the conveyancing processes. Your responsibilities will encompass a wide range of tasks, from meticulous correspondence preparation using our advanced case management system to handling client interactions with professionalism and efficiency.

Primary Responsibilities:

  1. Full Support to Solicitors:

    • Collaborate closely with solicitors, providing comprehensive support to facilitate efficient operations.
  2. Correspondence Preparation:

    • Utilize the case management system to prepare accurate and timely correspondence.
  3. Client Interaction:

    • Attend to clients through telephone and in-person interactions, ensuring a professional and responsive communication channel.
  4. Filing Systems Administration:

    • Manage filing systems, including daily filing, opening, closing, storage, and retrieval of client files for streamlined organization.
  5. Mail Preparation and Dispatch:

    • Prepare mail and enclosures for dispatch, ensuring proper documentation and adherence to procedural guidelines.
  6. Diary Management:

    • Efficiently manage diaries to schedule appointments, meetings, and deadlines.
  7. Scanning and Photocopying:

    • Coordinate the scanning and photocopying of paperwork to maintain an organized and accessible document repository.
  8. Audio Typing:

    • Transcribe dictations accurately through proficient audio typing skills.
  9. Additional Duties:

    • Undertake diverse responsibilities and tasks as required to contribute to the smooth functioning of the legal team.
  10. Client Correspondence:

    • Address routine client correspondence and queries promptly, maintaining a high standard of client service.

About the Person:

To excel in this role, the successful candidate should possess the following attributes, skills, and experience:

  1. Residential Conveyancing Knowledge:

    • Demonstrate excellent knowledge and experience within residential conveyancing to navigate complexities effectively.
  2. Initiative and Proactivity:

    • Exhibit initiative by independently undertaking searches and ID checks, contributing to the proactive functioning of the team.
  3. Speed and Accuracy:

    • Maintain high levels of speed and accuracy in performing tasks to meet quality standards and deadlines.
  4. Audio Typing Proficiency:

    • Showcase excellent audio typing skills from dictation, ensuring precision and efficiency in transcribing legal documents.
  5. Communication Skills:

    • Possess a good telephone manner and be comfortable engaging with clients both on the telephone and in person.
  6. Organizational Skills:

    • Be highly organized, methodical, and adaptable in managing tasks, files, and responsibilities.
