If so, we have an exciting opportunity for an HR & Recruitment Assistant to join our supportive team, dedicated to shaping an inclusive workplace culture.

In this role you’ll be working across both the HR & recruitment functions throughout the entire employee journey, encompassing recruitment, onboarding, ongoing employee support, and managing leavers.

We have offices in Gatwick and London, UK; Montpellier, France; Singapore and Chicago, US. In line with the Company’s current Agile Working Policy, the successful candidate would be eligible to work part of the week from our Crawley office and to work remotely for the rest of the week.

What you’ll be doing:

HR:

  • Onboarding new starters onto our HR system, Cezanne, ensuring that all tasks are completed by the due date set and the new starter notification process is followed, including right to work checks.
  • Processing leavers on Cezanne, sending leaver’s information to employees and ensuring that the leaver notification process is followed and processing reference requests when received.
  • Assisting with the internal moves process, updating the spreadsheet, and ensuring actions are completed.
  • Monitoring the HR inbox, forwarding emails to relevant team members to action or responding where appropriate.
  • Supporting with payroll administration and preparation.
  • Ensuring the completion of probationary reviews by monthly deadlines and escalating outstanding reviews to HR colleagues when necessary, preparing and issuing letters to employees upon completion of probationary period.
  • Updating Cezanne with training records, organising training sessions and providing admin support for HR colleagues.
  • Assisting with the processing of casual workers and freelancers, ensuring that spreadsheets are updated, agreements are issued, timesheets are collected, and Cezanne is used to onboard where necessary.
  • Supporting on administrations projects such as the organisation and transfer of employee files to a digital system.

Recruitment:

  • Meeting with hiring managers to get a deeper understanding of the role requirements and developing a suitable interview process.
  • Writing compelling job adverts and advertising roles on our recruitment system and other relevant job boards.
  • Coordinating all stages of the recruitment cycle - from screening and shortlisting applications, to arranging interviews and making offers.
  • Ensuring a positive candidate experience by communicating with the candidate throughout the recruitment process, keeping them informed of the status of their application and providing them with feedback if they are unsuccessful.
  • Proactively sourcing direct candidates via LinkedIn and other sources to build a pipeline of candidates.
  • Building and maintaining strong relationships with hiring managers, agencies, universities, and apprenticeship providers.
  • Providing hiring managers with guidance on interview best practice and supporting on interview structure and knowledge sharing on areas such as unconscious bias.
  • Occasionally attending careers fairs and networking events to represent William Reed

What you’ll need:

  • Organisation and prioritisation to effectively manage task list and multiple competing deadlines.
  • Communication to work in a collaborative environment, effectively communicating with team members, external stakeholders, and candidates.
  • Administration skills and attention to detail to ensure accurate record keeping, communications, scheduling of interviews and compliance.
  • Interpersonal skills to cultivate positive relationships with both internal and external stakeholders, supporting colleagues ensuring a positive candidate experience.
  • Previous experience of working successfully in an administration role in a busy and complex work environment.
  • Confident speaking with individuals from diverse backgrounds and varying levels of expertise, and able to adapt communication style to suit different audiences and situations.
  • Comfortable in situations with a requirement to think critically, question and determine when to seek guidance or escalate a potential problem.
