Position Overview: As a Housing Waitlist Officer/Housing Allocations Officer, you will play a pivotal role in managing and maintaining accurate housing waitlists and efficiently allocating available housing units. Your responsibilities will involve overseeing the application process, maintaining databases, and ensuring fair and equitable distribution of housing resources to eligible individuals and families. This position requires a keen attention to detail, excellent organizational skills, and a commitment to providing exceptional customer service to applicants.

Key Responsibilities:

Waitlist Management:

  • Maintain and update the housing waitlist database regularly.
  • Review and process applications for housing assistance, ensuring completeness and accuracy.
  • Verify applicant eligibility based on established criteria and guidelines.

Application Processing:

  • Assist applicants in completing necessary paperwork and documentation.
  • Conduct interviews or assessments as needed to gather additional information.
  • Communicate with applicants regarding the status of their applications and provide assistance as required.

Allocation Coordination:

  • Coordinate the allocation of available housing units based on priority criteria and regulations.
  • Work closely with internal stakeholders such as property managers, housing authorities, and community organizations to facilitate smooth allocation processes.
  • Ensure compliance with relevant policies, procedures, and legal requirements during the allocation process.

Data Management:

  • Maintain accurate records of applicant information, housing units, and allocation activities.
  • Generate reports and statistics related to waitlist status, allocation trends, and demographic information.
  • Utilize technology and database systems effectively to streamline data management processes.

Customer Service:

  • Provide courteous and professional assistance to applicants, addressing inquiries, concerns, and complaints in a timely manner.
  • Educate applicants about available housing options, eligibility requirements, and supportive services.
  • Foster positive relationships with applicants and community stakeholders to enhance satisfaction and trust.

Policy Compliance:

  • Stay updated on relevant housing regulations, policies, and procedures.
  • Ensure compliance with fair housing laws, nondiscrimination policies, and other applicable regulations.
  • Participate in training programs and professional development opportunities to enhance knowledge and skills.

    Qualifications:

  • Previous experience in housing administration, social services, or a related field.
  • Strong understanding of housing programs, eligibility criteria, and regulatory requirements.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using computer software and database systems.
  • Ability to work effectively in a fast-paced environment with diverse populations.
  • Demonstrated organizational skills and attention to detail.
  • Commitment to maintaining confidentiality and handling sensitive information ethically.
