Purpose of the role

The Head of Procurement & Energy is the lead for supply chain / procurement activities within the business and should be the champion of the supply chain using their ability to drive the best possible commercial terms for the business. Developing and gatekeeping a sound purchasing strategy, the Head of Procurement & Energy will ensure the organisation and its’ Team Members adhere to our practices. Building excellent relationships with an expertly procured supplier network, they will deliver value to all end users, not just in terms of cost but also in terms of service and quality. Establish, communicate, and implement long-term goals for the function in order to promote effectiveness and efficiency.

To be instrumental in supporting the business with the procurement and commercial analysis of future and existing utilities contracts and performance for the provision of a wide range of new and existing clients. Commercial arrangements with the supply chain and Business Development activities to help the Business and its clients to achieve financial goals and green targets.

Key Accountabilities - Head of Procurement & Energy

  • Create and manage a well-balanced and cost-effective Preferred Supplier List that delivers great value for all stakeholders.
  • Ensure the Procurement function has in place a Business Continuity Plan to ensure that the Company would not suffer material and adverse consequences in the event of a failure of a key supplier.
  • Ensure all suppliers are on boarded in a timely fashion and in line with our Financial
  • Negotiate all contracts so that we are on the most preferable rates available at all
  • Seek new and innovative ways of improving value and service delivery through new suppliers and
  • Use data insight to analyse current usage of all goods and services across the business and deliver improvements through new relationships and or National Frameworks Agreements (NFA).
  • Manage NFA’s according to ours and / or client NOI budget
  • Lead on supply chain specific Business Objectives and work to delivery expectations / Making commercial recommendations to the Commercial Director / Executive team.

Critical Tasks - Head of Procurement & Energy

  • Become the lead and 'expert’ for supply chain and to manage all national framework agreements directly, and all other indirect procurement (property manager empowerment).
  • Lead on supply chain specific Business Objectives and work to delivery expectations / Work to continuously improve the supply chain 'brand’ within the company, and to ensure that procurement excellence is understood and practiced by all stakeholders. Leverage our scale to maximise value from our supply chain and develop new annual rebate opportunities.
  • Manage the day to day and strategic utilities procurement, liaising with our retained Energy Consultant and Supplier to ensure best value and management reporting to highlight consumption trends.
  • Manage and monitor live contracts and analyse them in order to identify areas for cost saving and delivery of further value.
  • Support the companies ESG strategy and measures where energy consumption is
  • Ensure centrally raised PO’s meet the Financial Regulations requirements (PO Compliance).
  • Establish ongoing protocols and routines for controlled supplier

Duties and Responsibilities - Head of Procurement & Energy

  • Become the lead and 'expert’ for supply chain and manage all national framework agreements directly, and all other indirect procurement (property manager empowerment).
  • Responsible for the ongoing financial and operational efficiencies within the supply chain and focusing on delivering best value..
  • Keep abreast of regulatory developments within or outside of the company as well as evolving best practices in supply chain management.
  • Revise procedures and reports periodically to identify trends, gaps, hidden risks, or non-conformity issues.
  • Take ownership of resolving and supporting with any supplier / supply chain issues or problems that occur, particularly any involving a financial or compliance risk.
  • Comply with relevant frameworks and procurement regulations and help ensure compliance across the department and the organisation.
  • Set up and maintain a database to manage the supply chain, vetting and tracking of supplier
  • Lead the procurement function to track and monitor device and IT hardware asset
  • Produce monthly reports on the cost efficiencies delivered through a well-managed supply
  • Understand the brand standards for all products and services and ensure our supply chain delivers those

  • Collaboratively work with other teams to improve our business and encourage take up of procurement

Utilities specific duties and responsibilities

  • Management of energy procurement and contracting with the appointed Energy
  • Management of procurement and contracting of all client energy contracts, including becoming the strategic lead for the Energy Flex Basket model; contracted and traded annually.
  • Development and delivery of a business-wide client energy procurement
  • Reporting of energy consumption data at property and portfolio level, to clients and internal
  • Facilitate the forecasted annual spend for Client budgeting purposes, for both existing schemes and to the Business Development team for bids as required.
  • Benchmark energy consumptions against best practice
  • Working with the finance team to ensure payment of invoices in a timely manner and ensuring any blockers or disputes are actively being rectified with the energy broker and/or direct with the supplier.
  • Act as a "Trusted Partner" to our clients with the management of their energy needs and the overall credibility of our management model.
  • Retain up to date market insight, particularly to fluctuating energy
  • Carry out the initial analysis of tender documents for all utility related
  • Undertake monthly and ad hoc analysis of supplier accounts to understand performance of expenditure
  • Build strong relationships internally and externally with suppliers and clients
