FINANCE ASSISTANT

£30,000 - £35,000 PA – DEPENDING ON EXPERIENCE

WEST LONDON

PERMANENT FULL TIME HYBRID ROLE

I have partnered with a global leader in IT staffing solutions to recruit a hands-on Finance Assistant, with strong experience using time and billing portals gained in the recruitment industry. You will be an enthusiastic and confident finance professional keen to develop a first-class finance function. You must be available to start immediately/short notice.

The Role

You will be responsible for supporting the contractor payables and client receivables of the company using their time and billing portal – ensuring that AR and AP invoices are processed in an expedient way. You will work with their automated invoice upload tool, both to the finance system and funding partners. You will need to perform the reconciliation of the data between the time and billing portal (as well as client portals), the finance system and the banking solution. You will ensure that client invoices are collected in a timely and consistent manner. You will be required to support day to day financial transactions – receipt of payments from clients, matching and allocations of payments, reconciliation of client accounts and statements as well as dealing with any queries. You will ensure existing, as well as new clients, are regularly credit checked and vetted to mitigate any risk. You will be responsible for ensuring aged debt is managed to terms to reduce outstanding balances.

Key Responsibilities

  • Process timesheets utilising the automated systems.
  • Respond to queries from clients and contractors.
  • Collection of all debts for the Group, liaising with clients, account managers, vendors, as well as internal staff
  • Using effective communication over the phone and email to build rapport with external stakeholders. Credit checking and vetting existing and new clients.
  • System synchronisation between CRM, Time & Billing, Finance System and Funding Platform.
  • Allocating cash receipts to the appropriate invoices across all bank accounts and currencies.
  • Ensuring POs are in place for relevant accounts.
  • Following client terms of business for any specific collection processes.
  • Maintain accurate account notes for each client with up-to-date information on anything outstanding.
  • Produce a monthly aged debtor’s report with commentary for the board report.
  • Maintain bank reconciliations.

Essential

  • Proven time and bill portal experience from the recruitment industry
  • Ability to identify anomalies and errors, then rectify them.
  • Confident using Microsoft Office and Teams.
  • Working knowledge of Xero
  • Systems proficient, with ability to quickly learn new systems.
  • Desire to improve systems and processes.
  • Customer focused approach, comfortable dealing with queries face to face, over the phone and in written correspondence
