Our client is a leading fashion and luxury marketing agency with offices in London, New York and Paris. They are currently looking for a Finance & Admin Assistant to join their team in London on a hybrid basis (3 days in the office).

Finance Duties

  • To post supplier invoices on Xero, to attach electronic copies on Xero. To assign all invoices to client, if billable. To ensure that all invoices have been allocated to the correct client.
  • Request supplier statements and ensure all invoices have been posted by month end deadlines.
  • To post Employee/Intern Expenses on Xero, to ensure that all expenses have sufficient back up ie receipts or invoices to ensure that all Expenses have been signed off by the relevant manager or authorised signatory.
  • To prepare Out Of Pocket invoices with backup receipts (sales invoices) on Xero
  • To prepare retainer invoices and send to client (sales invoices) on Xero
  • To ensure that HSBC bank account and American Express Credit Card Account have been reconciled monthly (bank reconciliation)
  • To reconcile intercompany account (New York and Paris) and prepare intercompany invoice by 20th of each month.
  • To process pay run for suppliers and expenses - over seen by Finance Director
  • To manage debtor collections and ensure all payments have been matched correctly.
  • Petty Cash reconciliations
  • Month end journals

Admin Duties

  • Organise travel arrangements for all staff
  • Assist the company directors with various tasks eg. Budget & contract edits (external documents).
  • Manage all ongoing office subscriptions
  • Manage office maintenance and purchases
  • Oversee planning and execution of press day
