We are working with IAPS who have an exciting opportunity for an Events Administrator to join their team. You will join IAPS on a full-time, permanent basis, working 35 hours per week. In return, you will receive a competitive salary of £24,000 per annum.

IAPS is one of the world’s most prestigious associations with over 660 of the world’s leading prep schools in their membership. IAPS deliver high quality courses and conferences to their members.

The Events Administrator will be responsible for providing administrative and organisational support for the courses programme.

Main responsibilities as the Events Administrator:

  • Provide administrative support for allocated courses, including, but not limited to:

o Set up courses on Eventfolio.

o Monitor event bookings and collate delegate information.

o Co-ordinate and circulate pre-event information.

o Prepare course programmes.

o Create delegate badges.

o Liaise with speakers to ensure that all requirements for the day are met.

o Arrange pre-course rehearsals for online events.

o Collate and summarise post event evaluations.

o Attend allocated courses online or in person.

o Respond to emails.

  • Keep the CRM database up-to-date.
  • Produce reports from the CRM and Eventfolio as required.
  • Create and update promotional materials.
  • Liaise with the accounts team over payments and financial queries.
  • Undertake administrative duties as required and any other reasonable duty that may be required from time to time.

What we are looking for in the Events Administrator:

  • Prior experience in event administration.
  • Experience of delivering online events (via Zoom and Microsoft Teams).
  • Strong administrative and IT skills (including Microsoft Outlook, Word and Excel).
  • Excellent written and verbal communication skills.
  • Good time management skills and the ability to prioritise workload.
  • The ability to work under pressure and meet tight deadlines.
  • Experience of developing and maintaining positive working relationships with colleagues, stakeholders and partners.
  • A keen eye for attention to detail
  • Willingness to work flexibly and to coordinate and administer events outside of normal working hours.
