Recruiting for a Permanent Deputy Office Manager. We are recruiting on behalf of our client for an experienced Deputy Office Manager to join their team. The ideal candidate will demonstrate strong communication, teamwork, driving results, customer service, and technical competencies.

Requirements:

  • Excellent standard of Excel to include filtering, IF statements, VLOOKUP, pivot tables, and manipulating data.
  • Good knowledge of Microsoft Word, and Outlook.
  • Aptitude for numbers, data analysis and manipulation.
  • Good standard of spoken and written English.
  • Experience of creating complex excel spreadsheets.

Key Tasks and Responsibilities:

  • Deputise for Office Manager to include but not limited to processing fortnightly wages, assisting with technical PQQ preparation, and assisting with the management of the administration team.
  • Arrange repairs, services and inspections and maintain records for the company plant equipment.
  • Arrange servicing and hire of welfare units.
  • Research and purchase small mechanical tools and maintain a register.
  • Maintain calibration records and ensure all calibrations are current.
  • Code plant invoices and job sheets for approval.
  • Manage 6-monthly lifting inspections for the company plant.
  • Purchase stocks of plant-related site consumables.
  • Process insurance claims for plant tools theft or damage.
  • Assist when required with the timely preparation and maintenance of the Job Diary.
  • Deputise for Purchasing Manager to include but not limited to placing materials orders and scheduling transport.
