Job title: Business Support Administrator (Occupational Health department)

Location: Sandy

Contract length: 12 months

Hours: Part time, 15 hours per week

Pay rate: £12.92 per hour (£10,000 per annum)

Overview:

We are seeking a skilled Business Support Administrator to join our Occupational Health team. As a vital member of our team, you will provide comprehensive administrative support to ensure the smooth functioning of our Occupational Health department. Your role will involve managing various administrative tasks efficiently, maintaining accurate records, and facilitating communication both internally and externally.

Key Responsibilities:

  1. Administrative Support: Provide day-to-day administrative assistance to the Occupational Health team, including but not limited to scheduling appointments, managing calendars, and organising meetings.
  2. Record Keeping: Maintain accurate and up-to-date records of patient information, appointments, and medical reports using electronic systems and databases.
  3. Communication: Serve as a primary point of contact for internal and external inquiries, correspondence, and communications related to the Occupational Health department. This includes answering phone calls, responding to emails, and directing inquiries to the appropriate team members.
  4. Documentation: Assist in the preparation, editing, and distribution of various documents, reports, and presentations as required by the Occupational Health team.
  5. Data Management: Collect, compile, and analyse data related to Occupational Health activities, ensuring confidentiality and compliance with data protection regulations.
  6. Coordination: Coordinate with external service providers, suppliers, and other stakeholders to facilitate the delivery of Occupational Health services efficiently.
  7. Compliance: Ensure compliance with relevant regulations, policies, and procedures governing Occupational Health practices, including maintaining confidentiality of sensitive information and adhering to data protection guidelines.
  8. Support Initiatives: Assist in the implementation of Occupational Health programs, initiatives, and projects by providing administrative support as needed.

Qualifications and Skills:

  • Proven experience in administrative support roles
  • Strong organisational skills with the ability to prioritise tasks and manage time effectively.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with colleagues and clients.
  • Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Attention to detail and accuracy in record keeping and data management.
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Knowledge of occupational health and safety regulations and practices is desirable but not essential.
