Responsibilities:
- Reception and General Enquiries:
- Undertaking reception duties; greeting all staff, and visitors to the facility in a professional and friendly manner
- Monitoring and drafting responses to emails received by the WBH reception email address
- Dealing with a wide variety of telephone and email enquiries in a professional and tactful manner; liaising with staff in other University Units and Schools
- Facilities Management:
- Sorting incoming and outgoing mail and dealing with special deliveries
- Photocopying, scanning, filing
- Dealing with requests for routine maintenance with the University’s Estates Department
- Regularly monitoring, maintaining and ordering supplies of stationery, paper, printer/photocopier consumables and responding to individual stationery requests
- Assisting with facility orientation and induction events
- Assisting other professional services staff as required
- Assisting with room bookings
- Organising catering and assisting with facility events
- Diary management
- Creating and sending all-building communications
- Procurement:
- Raising, approving and receipting purchase orders
- Creating new vendors requests
- Dealing with incoming invoices
- Ensuring mismatches are regularly monitored and resolved
- Acting as a point of contact for the facility for the buyers’ network
Desired skills:
- Qualifications at National 4 level
- Working understanding of IT packages e.g. Microsoft Office or similar
- Good organisational and time management skills
- Good attention to detail
- Good oral and written communication skills
- Good numeracy skills
Salary:
£12,771 per annum
Working hours:
Monday to Friday, 8.45am - 5pm
