The role

As a Bid Coordinator you will manage the full tender process crafting detailed responses from discussions with our client's Subject Matter Experts. Your role involves articulating their successes and aligning with their customers' digital requirements for their tenders. They seek a dedicated individual with strong writing skills to collaborate with teams across the group, ensuring timely and quality completion of bids, proposals and presentations. This role demands keen attention to detail and the ability to thrive under pressure to meet tight deadlines, whilst also understanding how to write within a creative, sales approach to separate our client from their competitors.

Task and responsibilities include

  • Coordinate the preparation and submissions of bids including early market engagement, proposals and post-submission activities
  • Research and identify opportunities for bids/submissions on frameworks and relevant websites for the UK Public Sector
  • Facilitate bid strategy meetings to outline timelines, set deadlines and assign tasks to subject matter experts across the business
  • Write, edit, and format bid responses, ensuring they are accurate, persuasive, and customised to meet the customer requirements
  • Utilise historic project successes to write quality, evidential and statistical answers to RFQs, ITTs and RFPs
  • Work with the sales team to qualify opportunities and identify the best scoring models to support a successful bid
  • Work collaboratively with other group subsidiaries to support bids on joint opportunities
  • Work with the sales team to ensure responses are aligned to the overall customer relationship
  • Track the bid pipeline through a CRM and provide internal progress reports
  • Conduct post-bid review and feedback sessions with team members to identify areas for improvement and lessons learned for future bids
  • Review and manage the bid answer library to simplify future tender responses
  • Keep an up to date list of subject matter experts
  • Manage and renew company profiles on tender portals and frameworks
  • Provide bid writing coaching and guidance to the wider sales team
  • Identify opportunities for continuous improvement and approach to their bid processes

Required experience

  • Demonstrable content writing experience desirable
  • Experience in managing projects to tight deadlines
  • Excellent verbal and written skills with an extensive vocabulary
  • Excellent administration skills
  • Strong attention to detail
  • Self motivated and highly driven
  • Adaptable with the ability to multitask
  • Good listener, empathetic and able to build good working relationships with stakeholders
