Virtual Executive Assistant

We are currently looking for a Virtual Executive assistant to work for a large FMCG company based in Slough. This would be a home based position for 20 hours per week.

The individual will have virtual PA experience and will be carrying out the following duties:

Collect and consolidate bi-weekly status reports from transformation managers, walk through escalations / action items on call, upload final status reports and meeting notes to SharePoint, and add action items to To-Do List

Ensure workstreams are updating their Smart Sheets according to methodology (e.g. 3-month milestone views), track Milestone progress including past due items, and updated GANTT / timelines for leadership

Keep SharePoint file structure up to date and ensure ownership and access rights to folders / files are consistent with plan; Update SharePoint structure to support project needs (e.g. task lists, wiki, FAQs, etc.)

Support F2F, Steering Group / Sponsor, and Quarterly Audit meetings to provide updates on DF program, including preparing supporting materials, as needed

The right person will need to possess the following skills:

Good work attitude, calm and respectful
Understanding of large corporation ways of working
Highly proficient with the following programs:
Microsoft Office Excel, Word & PowerPoint,
SharePoint site set up and management
Smart sheet management with large teams
Action tracking ad follow-up with large teams
meeting booking and calendar co-ordinator for senior executives and stakeholders
support to Business Transformation Office team of Senior Leaders
