Job description

  • Responsible for the Office general administrative duties
  • Welcoming and helping all visitors to the office
  • Answering phones and taking messages
  • Checking stocks and placing stationery orders
  • Organising the post and stamps
  • Responsible for keeping the key book updated
  • Responsible for preparing the Office Key List database and keeping it updated
  • Making sure one set of management keys is either in the office or with the porter
  • Forwarding Valuation/Instructions letters/emails to Landlords attaching relevant TOB
  • Taking charge of the new deals forwarded to you by the negotiators
  • Speaking to Tenants and Landlords
  • Making sure all tenants, occupiers and guarantors are being referenced
  • Making sure all certified ID is in place for all tenants and occupiers
  • Preparing all the paperwork necessary to complete the letting of the property
  • Obtaining Landlords' signed approval / signature on all documents necessary to complete the letting of the property
  • Obtaining ID for the Landlords
  • On brand new management deals the branches send the Management Form (or link to the management form) to the LandLords to complete
  • Send welcome emails to Tenants
  • Booking Inventory/Check in for all new deals
  • Check receipt of all funds before Tenant moves in
  • Complete the file
  • Producing a weekly performance report for the office
  • Updating the property database
  • Updating the window cards
  • Keep expiry lists updated


  • Monday to Friday - 9-5.30pm
  • £18,000 - £23,000
