Trading Operator

Our client, an established international trading company based in Central London, are looking for an experienced Trading Operator to join a newly established Oil trading subsidiary within the group. They will initially trade Crude oil before starting to trade other Oil products in 2018!

Working in a small team, you will manage all petroleum trading operations in a timely and accurate manner supporting the trading team. The tasks will involve external liaison with counterparties and may on some occasions necessitate working outside of contractual hours. Your responsibilities will result in accurate and timely cargo payment operations including Letter of Credit operation.

DUTIES & RESPONSIBILITIES:

Primary Tasks:

  • Working closely with traders mainly after deals are concluded but also assisting during the process as required. Nomination of documentation requirements for shipping of cargoes including bills of lading, quantity, and quality certificates. Ensuring requests for documentation correspond with Letter of Indemnity and Letter of Credit requirements
  • Liaise with suppliers and receivers on changes to loading dates, cargo volume and documentation requirements
  • Liaise with counterparts regarding vessel approvals and requirements for cargoes
  • Calculating prices and determining due dates according to contract and agreeing the same with customers for cargoes already delivered
  • Maintenance and gathering of data for cargoes regarding destinations, quantity and quality, providing information for traders when required
  • Maintaining comprehensive files of operations-related correspondence, in both electronic and hard copy to satisfy compliance and auditing requirements
  • Ensuring all operational aspects of contracts and General Terms and Conditions are adhered to
  • Handling operational issues with a view to minimizing demurrage and dead freight
  • Liaise with treasury in case letters of credit and financing arrangement are required
  • Liaise with Back Office staff for payments including Letter of Credit
  • Ensure that all petroleum trading operation shall be properly and promptly followed up at all the times including Saturday/Sunday/UK holiday and after/before working hours
  • Arranging marine insurance in case it is required
  • Process internal Security Export Control liaising with LCD Dept.
  • Making / handling draft contracts / comments on counterparts’ draft contracts, liaising with traders
  • Filing contracts in both electric and hard copy
  • Sorting out all the operational information with excel file to share with managers/colleagues for their follow-up
  • Ensure that all the delivery information shall be properly filled in in Delivery Details Ledger made by back office staff
  • Input properly delivery details to ETRMS (ASPECT, etc)
  • Ensure that letters of credit shall be properly issued and provided by the firm and/or counterparties in a timely manner, liaising with treasury department and counterparties
  • Preparation and submission of necessity negotiation documents for timely letters of credit settlement, liaising with Treasury department.
  • Check the contents of the invoices made by Back office staff and/or counterparties, before Dept. Manager’s approval
  • Calculation of demurrage and submit claim to counterparties in a timely manner
  • Sorting out demurrage as well as other claims in excel file
  • Negotiation of claims including demurrage with counterparties and report to managements periodically
  • Liaise with counterparties for company registration
  • To ensure that all operational matters are dealt with in a clear and timely fashion and that other members of the team are also fully informed.

  • Comply with internal regulations and guidelines
  • Adhere to normal market practices and to ensure total compliance with all relevant national and international rules and laws.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Extensive working practical knowledge and experience of petroleum trading operation
  • Fully familiar with petroleum trading and shipping methods
  • Attention to detail, in completing work tasks and ability to discern discrepancies in data and reports
  • Facilitating analysis and resolution of multiple problems with critical time lines and multiple teams
  • Able to handle multiple complex and challenging operational issues complex thinking, not solely driven by volumes but also understands pricing and economics, responds to multifaceted logistical variables, understands direct and indirect impact of decisions
  • Ability to work in a very fast growing pressurised department
  • Good organisation skills and time management are essential parts of this role
  • Strong international communication skills
  • Advanced proficiency in Microsoft Office Excel and Word, competent in using standard software and software dedicated to the trading activities
  • Ability to establish and maintain cooperative working relationships with internal and external stakeholders
  • Ability to show initiative
  • Proven ability of creating and implementing systems and processes
  • Ability to work on own initiative and as part of a team
  • Professional attitude with operational knowledge to make timely reports/advices to management and traders
  • Educated to degree level or equivalent work experience
