Tender Coordinator

Department Profile

The EFS Tendering Coordinator is part of the EFS function, servicing all customer needs in relation to Engineered Fixed Systems customer development and specification. A specific shift in Business Focus for the Oil & Gas industry results in this position taking the lead role in providing a focused and controlled approach to this market. The role is responsible for defining and documenting customer needs as part of a RFQ / Specification activity, working with Finance and Sales to agree commercial terms. The role delivers a fully costed specification pack to the EFS engineering team for design and manufacture. Any changes to the specification or technical support required by the customer relating to this order are managed by this role.

Main Objectives, Duties and Responsibilities.

  • The EFS Tendering Engineer resides within the EFS function
  • Servicing all customer needs in relation to complex fixed & sample systems
  • The role is a technical resource with the following focus:
    • Customer specification development
    • Cost estimation and quotation activity
    • Project manager for the delivery of projects
    • Technical single point of contact for customer technical enquiry and timing liaison
    • Completing RFQ’s
    • Formalising agreed project specification changes, and any resulting commercial impacts
  • The role is responsible for supplying / supporting the EFS manufacturing team with:
    • Agreed, defined and purchase order referenced specifications
    • Timing guidance as referenced in purchase orders
    • Clarity as to formally agreed changes (order amendment management) to the specification or technical support required by the customer
    • Suitable and timely communications between the customer & EFS team
  • The role takes ownership of and drives the completion of proposals
    • Collation and dissemination of completed proposals
    • Further focus on customer and sales manager liaison to clarify ambiguities
    • To call the proposals team together as required, drive completion and raise a red flag should the desired responses not be received in the allocate timeframe, and escalate as required
    • To redefine and issue the 'proposals’ process, tracking, monitoring and reporting tools
  • Own all customer liaison activities during the project negotiation and specification stage
  • Liaise with department engineers, managers, technical support and product managers on appropriate product / systems offering where necessary
  • Inform the appropriate Sales Manager of 'Project progress’ at regular intervals
  • Compile and detail specific quotations for engineered systems to company standards
  • Assess all quotation requests before quotation to assess suitability against the company product portfolio and the commercial implications
  • Speedy commercial consideration / justification as to whether customer opportunities meet the clients required value proposition (Accept or decline to quote)
  • Ensure all commercial customer requirements are met, including T&C’s and the quotation is presented to the customer to the company standard
  • Send quotations to relevant Sales Manager (for information) and forward to the customer as appropriate.
  • Log all quotations on an EFS department database, and/or CRM updating the details as required
  • Produce weekly reports on the quote activity for the department and updates on any outstanding quotes to be issued including quote conversion metrics
  • Compile a fully documented history of each enquiry and the forms/emails/specification sheets for each enquiry

Person Profile

A Project Co-ordinator/technician with experience of pulling together complex tender documents and strong commercial acumen, cost estimation skills, able to interface with customers directly with minimal supervision, able to accurately define and confirm with the customer their needs and ultimately agree the specification. Applying sound project management experience, to manage any customer change requests and track status / progress of the system build and delivery; bringing all departments together to efficiently execute agreed customer needs.

Education & Knowledge

  • Good standard of academic and intellectual ability Degree qualification / HND / HNC or equivalent
  • Awareness of Production supply chain systems
  • Knowledge of MRP systems
  • Good technical understanding of control systems and gas detection
  • Understanding of the sales cycle and processes
  • Project Management experience (Microsoft Project / Prince 2)
