The post is primarily responsible for the monthly Visiting Staff Payroll in addition to providing assistance with the monthly payroll as and when required.
*Responsible for processing the monthly Visiting Staff (VS) Payroll including starters/leavers, inputting timesheets, processing expenses, charging payments to appropriate cost codes, updating tax codes, transmitting files for BACS payments and posting out payslips;
*Liaise with HMRC (HM Revenue and Customs) over tax codes, national insurance rates and employment status of individuals;
*Maintain accurate and well-organised payroll records and files;
*Respond to queries from individuals regarding payments, i.e. rates of pay, deductions, method of payment etc;
*Process pension scheme membership paperwork and ensure compliance with Automatic Enrolment Regulations;
*Ensure that all international visiting staff have permission to work in the UK before work is undertaken (as outlined in the School's visiting staff procedures) in line with UKVI regulations, including maintaining robust records of visiting international staff for monitoring purposes;
*Responsible for monthly submission of FPS (Full Payment Submission) and EPS (Employer Payment Summary) reports to ensure compliance with RTI;
*Responsible for year-end processing and reconciliation;
*Produce monthly VS payroll journal for the Management Accountant to electronically input to Agresso (GSA's finance system);
*Provide cover from time to time in relation to other duties, which would involve processing the monthly payroll for GSA staff, i.e. inputting data from timesheets, processing maternity pay, updating sickness records and processing relevant pay, and transmitting salaries via BACS and other duties as required;
*Undertake an annual payroll 'cleansing' exercise, i.e. process individuals as leavers who have not received a payment in the past year;
*Maintain and monitor Visiting Staff log to ascertain whether the contractual status of any individual requires to be reviewed in light of the frequency and regularity of their visits;
*Contribute to periodic internal and external audits and departmental reviews;
*Produce statistics relating to Visiting Staff when required and assisting with producing statistics in relation to monthly paid staff;
*Demonstrable commitment to continuous professional development through engagement with appropriate networks, publications and attendance at relevant seminars/training events;
*Any other duties as may be reasonably requested by the HR Manager, the Deputy Head of HR, the Head of HR and other senior staff;
*To work with competing deadlines (internal and external) delivering a professional service in line with published HR Service Standards;
*To adopt a friendly and open attitude, whilst respecting privacy and confidentiality as required by members of the HR Team;
*To develop an understanding of the requirements of staff in order to suggest enhancements to the existing service provided.
oEducated to GCSE (or equivalent) level;
oWorking knowledge of relevant UK legislation including Data Protection Act;
oHands-on experience of payroll administration in a busy office environment;
oGood knowledge of UK tax and pay compliance;
oKnowledge of PAYE manual calculations and payroll reconciliation;
oExperience with iTrent a high advantage
This role attracts a competitive hourly pay rate of £14.56 per hour, paid weekly
