Team Secretary for Global Insurance Firm

Initial 2 Month Contract - April 23rd - 29th June 2018 

City of London

Our fantastic City based client has an opening for a Team Secretary to join the business on a temporary full-time contract for a period of 2 months. You will be brought in to provide Secretarial Support to the team and assist with drive in colleague management and new business. Ideally you would 

Duties: 

  • Formatting documents in line with the Corporate Style
  • Setting up meetings and conferences both internally and externally
  • Organise billing for the teams clients
  • Travel organisation; domestic and international
  • Prepare expense for the team and log on the inhouse system
  • Communicate phone calls and emails to the relevant individual/ department
  • Inbox management
  • Manage compliance amongst the business including Corporate Responsibility
  • Keep up to date with internal news and projects
  • E-filing management
  • HR assistance with holiday,
  • Provide support to the PAs when required  
  • Ad hoc administration – typing, photocopying, scanning, binding, collating meeting packs

Key Skills:

  • Educated to GCSE level including Maths and English grade C
  • Secretarial qualifications will be an advantage
  • Minimum of 60 wpm typing spend
  • Must have Secretarial experience within the financial service industry
  • Confident user of; Microsoft offices, Live Meetings and use of Blackberries
  • Good communicator with colleagues and clients
  • Ability to prioritise work effectively and stay ahead of deadlines
