Team PA - Finance

My client, a financial services firm, based in Central Reading, are seeking a competent Team PA to join their team on a permanent basis.

The key duties of the role are:

- Provide a full secretarial service to Four executives;

- Highly accurate copy typing;

- Front of house duties (meet and greet/phone/operation of meeting room service);

- Take accurate telephone messages and action where applicable;

- Management of executives diaries (Outlook);

- Make appointments and travel arrangements as necessary, arrange lunches, dinners and social events etc;

- Research and manage research information;

- Working alongside Deal Originators to assist with reports and updating the origination map;

- Collation and management of regional marketing collateral;

- Marketing, ensure all office marketing supplies are up to date. Work alongside the Investment Manager to assist with all marketing requirements for origination purposes including press releases for new deals and portfolio companies plus deal award nominations and keeping local advisors up to date;

- Production of PowerPoint presentations as required;

- Event organising - small to large scale events;

- Be constantly aware of team’s activities/pressures (i.e. read mail/emails/regular catch-ups with Execs/PAs);

- Use initiative when dealing with correspondence, telephone calls, routine enquiries etc, particularly when executive is away from the office;

- Prioritise work effectively by virtue of urgency and importance;

- Hold and bring forward papers to the executive at the appropriate time and remind them of actions as appropriate;

- File all correspondence efficiently;

- Office housekeeping - stationery orders/invoicing/couriers/expenses/mandatory training - using bank systems where appropriate;

- Maintain the contacts database;

- Preparation of documents - Committee reports/offer letters/pitch presentations; and

- Assist other support staff - holiday/sickness cover for regional PAs when necessary.

To be able to perform in this role we are looking for candidates to boast the following qualities:

- Ability to prioritise tasks and juggle conflicting deadlines;

- Strong customer service orientation and pleasant phone manner;

- Ability to organise while paying close attention to detail;

- Self-starter with a proven ability to use their initiative;

- Team-oriented with strong integrity and professionalism;

- Keeps an open mind and approaches work in a flexible way;

- Always professionally presented;

- Mature, flexible attitude to work;

- PA/secretarial background essential. Private equity/corporate finance background an advantage but by no means essential;

- Good grammar and written English;

- Research and database management skills;

- Outlook - Word, Excel and PowerPoint at advanced levels;

- Capable of working on own initiative;

- Able to prioritise effectively;

- Good team player who is willing to do anything (from making the tea upwards) and assist other members of staff when necessary;

- Willing to work outside of normal office hours on a regular basis to ensure workload appropriately managed and all deadlines met.

Working Hours: Monday to Friday; 9am to 6pm - although as above you would be required to work outside of office hours
