Job Title: Team Assistant
Reports To: Associate Director, Leeds
Location: Toronto Square, Toronto Street, Leeds, LS1 2HJ

Key Responsibilities:
We are looking for a team assistant to provide comprehensive support to the Surveyors and the Property Administrators within the SIPP Asset Services team. The job requires excellent IT skills, organisational skills and applicants must be flexible and able to consistently demonstrate a high professional approach.

  • Work with Line manager to ensure all clients KPIs are met as per the Property Management Agreement.
  • Providing general Property Management advice with support from an Associate Directors when necessary.
  • Work with Line manager to ensure all clients KPIs are met as per the Property Management Agreement.
  • Telephone liaison - dealing with a wide range of telephone calls from clients, tenants, suppliers and all other parties. To effectively resolve queries and field calls where appropriate.
  • The job will require updating various systems, so we require someone with excellent computer skills, especially Word & Excel and able to undertake mail merges.
  • General office administrative duties including the preparation of standard letters, issuing instructions to surveyors, reviewing reports, updating systems and forwarding reports to client.
  • The job will require the ability to read and reconcile accounts and utility invoices. It is important to have basic accounting/numeracy skills.
  • Liaising with utility providers when properties become vacant and providing meter readings and ensuring all invoices are billed correctly to the client.
  • Reviewing and approving invoices for payment by the client.
  • Maintaining property databases/spreadsheets.
  • To maintain a commercial focus and be aware of the split between core functions and additional services provided by CBRE to the Client.
  • Assist with client reporting & to provide support to CBRE’s credit control team including clarification of sums due under the lease and account maintenance.
  • Ad hoc duties - including scanning & electronic filing on internal system, opening and distributing the post.

Person Specification: Essential

  • Excellent communicating skills (verbal & written) and numeracy skills.
  • Excellent organisational skills and good attention to detail. Ability to work methodically and in a highly-organised manner.
  • Good interpersonal skills with a professional attitude. Team player who deals effectively with colleagues and clients.
  • Able to work to deadlines and have a flexible approach. A "can-do" and flexible attitude.
  • Ability to prioritise and act on own initiative. Confident and assertive - must cope well under pressure.
  • Understands and appreciates the importance of using discretion.

Skills Required

  • Advanced IT skills (Word, Excel, MS Outlook and PowerPoint)
  • GCSEs - Maths and English language minimum C grade /or equivalent
  • Secretarial or administration NVQ/Diploma/or equivalent
  • RSA Word processing/typing/or equivalent.
