We are currently for a Team Assistant to join our Law, Patents & Compliance team in Reading.
•Manage and arrange travel in the UK and Europe for the team according to travel policy and budget, coordinating any real time issues as they arise and submit accurate and compliant monthly expense claims.
•Ensure efficient and effective management of meetings both on and off site in the UK.
•Prepare PowerPoint presentations and Word documents.
•File and retrieve documents on the shared drive and share point for the team.
•Manage the LPC UK/Ireland intranet and SharePoint.
•Understand how to use eFiLia database in order to search or upload contracts in other team member’s absence.
•Assist the Company Secretary with Insurance claims management, maintaining data privacy databases and providing assistance managing corporate documents and statutory administration.
•Assist the Senior Corporate Compliance Counsel scheduling training sessions and ensuring employees’ completion of mandatory training.
WHO ARE YOU?
•Educated to A Level or equivalent
•5 years + Administration / supporting a professional team.
•Experience of supporting a Company Secretary and/or dealing with Company Insurance claims, or ability to undertake regular training.
•Excellent IT skills, proficient in Microsoft Word, PowerPoint, Excel and Outlook, SharePoint and experience of updating intranet sites.
•Confident and willingness to undertake regular training to use in-house IT systems without supervision.
•Strong organizational, planning and prioritisation skills and attention to detail.
•Ability to manage multiple tasks and priorities.
•Strong communication, interpersonal and influencing skills.
•Proficient and proactive with the ability to work autonomously using considerable initiative.
•Ability to work efficiently and accurately under pressure.
