Are you a Teaching and Learning Administrator with experience of working in Higher Education? The opportunity to work in a leading Central London University could be the perfect role for you.

THE ROLE

Course/Programme Administration

  • Deal with enquiries by telephone, email, letter and in person relating to entry requirements and enrolment
  • Assist in recruitment initiatives and publicity including the co-ordination of Open Day events and interviews
  • Co-ordinate start of session arrangements; registration of new students, collate welcome packs, safety booklets, timetables and other necessary documentation
  • Work with the senior teaching and learning administrator and academic programme leader to set up induction events
  • Allocate students to courses, programmes,tutorials,projects and placements
  • Process and co-ordinate teaching materials
  • Update and brief academic and teaching staff on student application procedures and course/programme procedures and regulations
  • Create and distribute registers and attendance lists appropriate staff
  • Assist in organising logistics for student field trips throughout the year

Student records and enquiries

  • Act as a first point of contact for students in person, on the telephone and by email
  • Create and maintain student files
  • Process course changes, withdrawals and interruptions of study for students both internally and externally
  • Monitor and record student attendance
  • Collate and analyse student evaluation questionnaires
  • Liaise with appropriate Faculty and Registry Personnel in verifying and correcting student records
  • Advise students on University scholarship information and organise departmental nominations for scholarships
  • Maintain records for, and advise students on outcomes of, conference funding applications
  • Liaise with Disability Services in seeking appropriate provision for students with disabilities
  • Assist with activities such as the Year Abroad schemes

Examinations and assessment

  • Provide support on various exam-related tasks
  • Track, collate and co-ordinate all examination questions and solutions, formatting examination papers, as necessary
  • Service examination boards
  • Collect and accurately record coursework marks during the academic session
  • Create and maintain paperwork for extenuating circumstances meetings

Committees, Meetings and Reports

  • Produce results reports for all designated courses/programmes and modules
  • Service relevant committees such as Teaching Committee, Programme Committee, Exam Boards and Staff Student Consultative Committee
  • Keep informed about course and committee developments, attending and participating in meetings as required

Administrative Support

  • Provide cover for other colleagues in busy periods or when staff are on annual or sick leave
  • Assist the line manager and others, such as Head of Department/School Manager, as and when required with correspondence, diary management, enquiries
  • Maintain lists of student and staff contacts as appropriate
  • Make arrangements for workshops, meetings, seminars and other events
  • Work closely with course directors to review administrative systems
  • Liaison with relevant members of staff regarding payment of external lecturers

PERSON SPECIFICATION

  • Computer literate, including Word, Excel, Outlook, email and internet.
  • Ability to use web publishing software to produce documents for web.
  • Clear verbal and written communication skills
  • Ability to prioritise and organise own workload
  • Good interpersonal skills and the ability to liaise with a variety of people
  • Ability to work accurately and with high attention to detail
  • Commitment to high quality service provision
  • Ability to meet time-critical schedules
  • Administrative work in a busy office environment
  • Ability to work independently and as part of a team
  • Be willing and able to learn and use new systems quickly
  • Course/Programme administration
  • Experience of supporting postgraduate research programmes
