Main duties and responsibilities
Job purpose summary
To provide an effective and efficient pensions administration service to XPS Administration clients.
Key responsibilities & accountabilities
Performing all intermediary and complex pensions administration and project related tasks, including taking day to day responsibility for an assigned XPS Administration’s client portfolio.
Key responsibilities include:
Promoting and adhering to the XPS workplace values.
Managing day-to-day activities of staff to ensure efficient and effective delivery of client work to agreed deadlines to comply with legislative and clients’ requirements.
Providing support to the assigned team leader and where applicable, deputising for team leader when absent.
Management of client relationships, acting as first point of contact where applicable, taking a proactive stance to gain an extensive knowledge of their assigned client portfolio.
Managing a variety of projects in line with customer and legislative requirements.
Ensuring standard documentation is scheme specific, and incorporating them into existing procedures.
Preparing for and where appropriate participating in trustee meetings.
Handling pensions queries and pensions consultative advice.
Performing manual benefits calculations.
Producing letters to 'final letter standards’ in response to customer queries.
Updating relevant pensions administration databases and systems.
Maintaining scheme control files.
Monitoring, delegating and co-ordinating workflow, reporting regularly to team leader on progress and issues
Monitoring on going procedural developments and implementing changes.
Checking of work more junior staff.
Training and mentoring of more junior team members.
Assisting the Team Leader with appraisals, recruitment, induction and performance issues
Contributing to technical sub-committees (TSC).
Ensuring the billing process is processed to deadlines.
Take part in tender responses, attending pitches and client presentations.
Keeping abreast of technical and legislative developments within the industry.
Working closely with internal and external departments in order to provide a total service to our clients.
Ensuring own and team’s accurate updating of time recording system (Virtual Office) for all activities.
Any other duties appropriate to the role.
Right to work in the UK
Knowledge & experience
Significant previous pensions administration experience of Defined Contributions (DC) schemes covering all activities
Preferably a minimum of 5 years experience.
Knowledge of the impact on pensions administration of regulatory requirements.
Experience of mentoring more junior members of staff.
Third party pensions administration experience preferred, although strong all round experience within an in house pensions department, may be considered.
Previous Presentation experience desirable
Able to demonstrate a numerical aptitude evidenced by work related experience or academic achievements as listed below.
Project management experience.
IT proficient, in particular Microsoft Office Suite.
Training, education & qualification
3 Grade C’s at A Level or Degree or equivalent standard.
Minimum grade B in Maths and English GCSE or equivalent.
Significant progression within a relevant pensions qualification e.g. CPC/QPA/DPC/RPC/APMI ('qualified by experience’ may be considered).
