Job Title - Senior Medical Secretary for Private Fertlity Clinic in Central London

Salary - Up to £34,000

Hours - 37.5

Location - Central London

Type of role - Permanent

Start date - Immediate

Qualifications/Experience Degree or "A" Level, at least 2 years as a PA/Secretary


To provide an efficient and responsive administrative, organisational, and logistical service to the consultant to manage and prioritise their time. The primary duties will be working closely on diary management and professional care of the patients and fielding inquiries from internal and external stakeholders. To act on behalf of the consultant in their absence with a high degree of professionalism dealing with any inquiries to resolution. Efficiently deal with the administration of patient enquires for other doctors within the team.

Key skills;

  • Experience of handling a wide range of enquiries with both excellent verbal and written communication skills
  • Experience of taking and writing minutes, summarising discussions and writing reports
  • Ability to prioritise and manage workload, and to work on own initiative with minimal supervision to tight deadlines
  • Exercise tact and diplomacy in all work situations especially confidential HR matters
  • Ability to deal with difficult situations with a sensitive professional approach
  • Experience of using Microsoft Office packages, particularly Word, Excel, PowerPoint and Outlook and assisting with presentations

Role and responsibilities;

  • Work closely with the onsultants by screening incoming telephone calls; recording and transmitting messages from patients and visitors
  • Build rapport with patients and handle inquiries with sensitivity, follow through or expedite when necessary in order to conclude matters and update the patient
  • Liaising with patients with a calm, professional and caring manner, keeping the Consultant abreast of any questions or concerns raised by the patient
  • Deal with unscheduled enquires from patients and visitors from the UK and overseas efficiently and promptly
  • Handle referrals to and from other health care providers; scheduling appointments for the Consultant, scans, blood test, theatre procedures, etc
  • Also work closely with the Senior Private Nurse on the management of V.I.P patients, liaising on patient treatment and relaying the appropriate medical advice
  • Maintains patient confidence and protects operations by keeping information confidential
  • Serves and protects the health care of the patient by adhering to professional standards, clinic policies and procedures within HFEA, CQC and ISO requirements
  • Work closely with the Consultants organising professional meetings, conferences; teleconferences, travel arrangements and processing expenses
  • Keep Consultant’s office equipment working by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs on behalf of the Consultants
  • Arranges meetings with internal and external collaborators, setting up meeting rooms, organising refreshments or booking dinner/lunch arrangements
  • Act on behalf of the Consultant responding to e-mails on a timely basis. Deal with matters relating to the business professional and confidentially including processing expenses
  • Keep the Consultant abreast of any urgent matters and troubleshoot inquiries on their behalf
  • Updates job knowledge by participating in educational opportunities; reading professional publications and keeping up to date with mandatory training required competencies
  • Assist Operations Manager and General Manager with the preparation of any audits
  • Take minutes, complete dictation and audio typing. Also work closely with other secretaries on the completion of clinic typing within 7 working days and completion of any other admin tasks
  • Enhance reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
