Purpose of role:
Supports the National Secretary/Senior Manager and other
negotiating (or non-negotiating) staff with their duties. Manages
the office and has supervisory responsibility for Executive
Assistants and other administrative staff within their team. The
precise application of supervisory arrangements will be agreed
between the line manager and staff members in the team.
Key result areas:
Supports their line manager (e.g. National
Secretary/Head of Department) in running the office and
team by efficient execution of their duties. This may
include: diary management; arranging meetings;
answering the telephone; responding to correspondence
and e-mails; preparing presentations; liaising with branch
Provides appropriate day-to-day supervision of the
Executive Assistants/administrative support, including:
annual leave arrangements; sickness cover;
training/coaching arrangements; reviewing the
development of Executive Assistants/administrative staff
in conjunction with the full-time officers.
Establishes appropriate office filing systems (both
electronic and hard copy), and ensuring such systems are
updated, maintained and backed-up as needed. Liaising
with staff on relevant aspects of information systems, emails
and networks. Managing office facilities, including
purchase of supplies, payment of bills, arranging general
maintenance of buildings and equipment.
Responds to queries from members to the National
Secretary by reference to the full-time official, branch
representatives, and other specialist staff or published
information as appropriate. Ensuring that Executive
Assistants are also capable of dealing with individual
enquiries that come into the office promptly and
effectively, and providing assistance where this is
