Job Description

To provide a comprehensive reception, administrative, resource management and clerical service for those involved in the work of local multiagency fora in the designated ASG areas.

Responsibilities

Establish, maintain and develop administrative procedures for the multiagency fora and GIRFEC planning process to ensure that these are carried out to agreed standards.

Undertake a specific range of administrative and clerical tasks in conjunction with the staff involved

Maintain computerised and manual records and information systems

Provide a reception, advice and information service for parents, staff, young people and others requiring assistance in respect of the work of the local multiagency fora.

The Individual
  • Significant experience in clerical work including figure work, typing, word processing, composing letters, record keeping and filing.
  • Experience of working in a busy office environment using relevant technology and equipment e.g. photocopier, email, Intra/Internet
  • Recognised qualification for secretarial studies – e.g. RSA I, RSA II, Standard Grade(s) *
  • Training in word processing
  • 4 SQA standard grades or equivalent at level 3 or above including English and Maths/Arithmetic
  • High level of accuracy in work
  • Ability to prioritise own workload
  • Ability to use initiative in day to day tasks
  • Ability to participate as a team member
  • Effective written and oral communication skills
  • Effective organisational and time management skills
  • Self confident and self motivated
  • Appreciation and acceptance of, and commitment to the importance of confidentiality
  • Knowledge of software packages – e.g. Access, PowerPoint, Excel, Word
  • Flexible and adaptable
  • Understanding of and ability to demonstrate key inter-personal skills, both on the telephone and face to face
  • Willingness to accept direction/delegation
  • Ability to develop effective working relationships
  • Ability to work in a shared/open plan office (delete as appropriate)
  • Flexibility to meet the needs and demands of the service
  • Ability to work in different offices depending on the needs of the service

Temporary until 31 March 2019

Closing Date: 15 June 2018
Starting Salary: £17,756 (pro rata)
£9.42 per hour
29 Hours per week

Working pattern: Monday to Thursday 9am-3pm; Friday 9am-2pm. There will need to be a degree of flexibility on some occasions.

The postholder will work between 2 locations - Milne's High School, Fochabers & Lady Cathcart, Buckie.
