The Operations department is a very busy work environment, carrying out over 3,000 service visits each and every week. These service visits are carried out by local sub-contractors on regular, scheduled routes.

The core function of the Operations department is to deliver a high and consistent quality of service to Metro’s customer, primarily the testing of fire alarms, emergency lights and sprinkler systems, health and safety inspections and evacuation drills. These are key responsibilities, supporting our customers with their statutory compliance needs. Our primary purpose is to meet agreed schedules for service visits and to provide timely and accurate status reports to our customers.

Job Purpose

This is a varied and challenging role, coordinating contractor activities and communications as well as supporting the Contractor Manager in all other initiatives, including pay and recruitment.

Duties & Responsibilities

  • Ensure that the recruitment process is streamlined; ensuring that all forms and documents are completed by the Fire Safety Inspectors. This must be audited monthly to ensure compliance and submission, accuracy and timeliness of completion and return (and processing).

  • Lead by example and balance workload with the designated administrator support. Maintain service levels and update KPI’s for submission to the Operations General Manager.

  • Maintain compliance for all recruitment activities, ensuring that all new starters, leavers and temporary cover arrangements have been fully accounted for.

  • Maintain healthy balance of routes and services to be assigned to Contractors.

  • Maintain compliance for all Contractor training documents, applying corrective measures within remit, and escalating concerns to line management when appropriate.

Competencies Required

  • At least 2 years’ work experience in a busy operational environment

  • Excellent Microsoft Office skills i.e. Excel, Word, etc.

  • Strong verbal and communication skills

  • High level of numeracy

  • Initiative and the ability to work unsupervised

  • Must be able to work to tight deadlines and be an effective multi-tasker

  • Organised and methodical approach to administration
