Here within Hampshire County Council, we highly value the administrative and organisational skills our support staff bring to their roles. We can offer you a genuinely varied and responsible position, together with the opportunity to play a supporting role in the Adults Services department.

You will be undertaking work which is confidential, demanding and at times emotionally challenging but always rewarding which requires a sensitive and flexible approach. Working in a team of eight you will be the front line of the service covering our busy reception.

Your duties will involve everything from assessing customer requirements and responding to routine enquiries, through to monitoring budgets and resources but primarily you will be maintaining our visitor reception. You will therefore need proven administrative experience, good IT and communication skills.

Highly motivated, you will have the ability to work under pressure, be able to approach tasks with confidence and clarity, using your own initiative. You will need to be flexible in your approach, have the ability to work as part of a team and will be rewarded by great support from your team.

Job Purpose:

To develop and implement a comprehensive, effective and efficient administrative support service to meet business requirements.

Role Responsibilities:

  • To contribute to the delivery of effective and efficient services to departments of the County Council, partners and/or other external organisations.
  • Assess customer requirements and use a range of manual and electronic systems to provide accurate information and reports within agreed timescales.
  • Make routine changes to internal systems and procedures in response to customer requirements and promote awareness within the team to maintain standards of service.
  • Respond to routine enquiries, both orally and in writing, on behalf of the department and the organisation where appropriate. Carry out research and refer more complex enquiries to an appropriate manager with background briefing.
  • Establish and use networks of contacts, mostly internal within the County Council, to provide appropriate information and interpretation of systems, policies and procedures.

Role Requirements:

  • Effective communication skills both written and oral
  • Good keyboard skills and computer literate in a variety of software packages, including Microsoft Word and Excel
  • Significant experience of working in a customer-focused environment and being part of a team
  • Ability to carry out research and refer more complex enquiries to an appropriate manager with background briefing.
  • Able to work without close supervision
  • Good telephone technique; inbound and outbound calls
