The Security Vetting Administrator will ensure operational excellence in all the security check processes that underpin the integrity of our firm and satisfy the requirements of regulators, delivering a consistent and professional experience to the firm.

The main purpose of this role is to ensure relevant checks are completed in a timely matter for new starters including contingent workers and current employees. This position plays an essential role in the on-boarding process, to ensure all pre-screening checks are completed prior to a new starter joining the firm. Although the role will be predominately completing pre-employment screening, the role will also require completing security checks for existing employees.

  • seeks to strengthen commercial and business acumen and demonstrate understanding of client’s perspectives, priorities and aspirations of their functions
  • ensures and supports the delivery of the Grant Thornton experience for individuals at all stages of the security check process
  • networks and researches appropriately to keep up to date on current employment screening best practice and associated employment legislation
  • takes responsibility for keeping up to date with Grant Thornton policy and process, developments and changes
  • understands how the firm makes money and how it is structured


  • supports the development and client handling skills of our people by sharing knowledge across the team and with key stakeholders
  • collaborates with key stakeholders to ensure that security checks are performed in the appropriate time frame
  • ensures that client needs are met on time and delivered to an excellent standard within the regulatory framework
  • provides a helpful, highly responsive, efficient and customer friendly support service to all candidates, assignees and employees
  • ensures appropriate professional communication is used when interacting with our key stakeholders, candidates, internal clients, colleagues within P&CE and our service provider
  • supports other teams within HRSS to deliver a value adding administrative service to clients, as required


  • develops and maintains strong relationships within the business and the P&CE team
  • seeks regular feedback and identifies and acts upon learning and development needs in order to develop technical and personal skills
  • supports team and department meetings, adding items to the agenda and taking responsibility for actions
  • works with colleagues across the department to promote a joined up administration approach that adds value to the firm
  • trains and supports colleagues on the security check processes to increase their knowledge and promote a consistent way of working across the team
  • collaborates with HR team leaders, gaining advice with complex queries


  • completes all security check activities within the agreed service level agreements and to an excellent standard
  • develops and maintains high quality processes which provides key stakeholders with a positive experience throughout the process
  • manages the service with our screening provider to ensure they meet our expectations on quality and delivering to agreed SLA
  • attends review meetings as required with our screening provider to review service delivery
  • reviews first stage of invoice process
  • communicates effectively with both the business and P&CE to ensure that the relevant security checks are completed in the required timeframe
  • carries out regular reviews of the screening portal to ensure screening process is progressing in line with required timescale
  • highlights delays or escalates issues where necessary to relevant stakeholders
  • liaise with resourcing and other departments to obtain necessary information to resolve queries
  • takes responsibility to update and monitor any queries through to completion, ensuring processes are completed to a high standard
  • maintains full, accurate and up to date records on the systems
  • assists in the provision of value adding management information through the integrity of the data recorded in the HR system
  • makes appropriate decisions and uses judgement on work prioritisation ensuring expectations on service delivery and risk can be met
  • identifies process issues and opportunities for continuous improvement
  • adheres to the firm's risk management policies and is aware of changes in the firm's approach to risk management
  • ensures compliance with the Data Protection Act and maintains confidentiality of employee information and the firm's data
  • ensures written communication is in corporate style
  • works on ad hoc projects and tasks when requested to meet the demands of the business
  • ensures all relevant changes are submitted in line with the Payroll deadlines to ensure clients are paid accurately and on time
