This exciting position would suit an intelligent, methodical individual who has previous admin or secretarial experience. You will provide a comprehensive secretarial and administrative support service to fee earning staff and partners to enable them to maximise their fee earning activities.

Key responsibilities:

  • Assisting fee earning staff and partners in the production of written or visual material (such as letters, reports, memos, tenders, presentations) to company standard using in-house templates
  • Assisting in the design and production of marketing and communications material
  • Diary management and organisation of meetings using Outlook calendar, and meeting room booking facilities.
  • Billing clients.
  • Administration.
  • Filing and archiving.
  • Other ad hoc duties.

Job activities:

Production of written/visual material (such as letters, reports, memos, presentations, marketing material, tablemats and newsletters) using MS Word, Powerpoint, Excel, Adobe Acrobat Pro, Adobe InDesign CC, audio, reprographics and binding equipment.

Organisation of meetings and other arrangements (such as meeting rooms, refreshments, travel, accommodation).

Preparation for meetings (such as agenda creation, and the gathering and distribution of papers in both hard copy format and using our online system).

Logging and maintaining a post list. Ensuring actions are followed up, or chasing people as necessary.

Diary management for partners

Client and staff communication: dealing with or referring calls and/or swiftly relaying messages (telephone and email).

Improving effectiveness of systems or processes where appropriate.

Filing and archiving (paper and electronic) documents (and retrieving when necessary).

Dealing with partners’ expense claims and updating their Continuous Professional Development records.

Fee note co-ordination and production.

Other secretarial and administrative activities.
