Secretary to a few partners-must have experience of working in an Accountancy or Law firm ideally looking after 3 or 4 partners, important thing is fit - someone highly experienced.

  • Manage Partner's diary, including arranging and confirming meetings
    • Billing - preparation of invoices on computer as required and completion of fee note analysis as well as issuing fixed fee invoices
  • Assisting with creating PowerPoint proposals for new clients
    • Responsible for the money laundering checks and new client take on procedures
    • Maintaining partner notes and records for the graduate recruitment process and relevant admin regarding training partner responsibilities
    • Creating templates and documents as and when required
    • Assisting with GDPR compliance documentation
    • Responsible for looking after confidential mentoring paperwork and coordinating mentoring process with partner and his mentees
    • Organising in house lunches for Partners, clients, client seminar's
    • Supporting the other departments with general administrative duties as and when required
    • Dealing with phone calls from clients and contacts, taking accurate messages for the partners and ensure the efficient passing on of these
  • Monitoring partners emails and forwarding where relevant
    • Maintaining databases of client information
    • Greeting visitors to the office and helping with refreshments
  • Assisting visiting partners with secretarial work as and when required
    • Responsible for the administration of fee protection insurance in Milton Keynes which includes completing claims, keeping the insurers updated and issuing invoices along with an annual renewal mailshot to all tax return client
  • Audio and copy typing, mainly letter
  • Data entry onto spreadsheets
  • Help with banking, collecting petty cash and raising cheques etc.
    • Helping compile partners reports
  • Maintain accurate and appropriate filing systems, ensuring that filing is kept up to date
  • To cover reception as and when required
  • To cover the work of other secretaries as and when required
  • Photocopying & binding of tax returns and other related work
  • Other general administration, such as shredding of confidential information
