Secretary Administrator

Our client, based in Orpington is looking for a secretary to work for one manager and team of 6. The work includes audio and copy typing and has been created purely from growth.

Main duties for the Secretary:

  • Supporting one manager and the team and acting as their daily point of contact
  • Coordinating diaries and booking of appointments
  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, Project
  • Typing of correspondence, reports, minutes both audio and copy typing
  • Updating spreadsheets
  • Answering and filtering calls for the partner and the procurement team
  • Keeping Outlook calendars up to-date
  • Administering multiple email accounts
  • Coordinating the team’s attendance at client meetings, exhibitions, conferences, seminars, etc. booking rooms, arranging both in-house and external events/conferences, travel and accommodation
  • Attending client meetings and preparing and issuing minutes and other relevant documentation

Person Specification for the Secretary:

  • IT Skill - Advanced MS Word, knowledge of Excel spreadsheets
  • Preferably Access and PowerPoint skills but will train
  • Ability to prioritise
  • Typing speed of 50wpm, training given on audio
  • Strong organisational skills
  • Clear confident communication skills
  • Team orientated
