Scheme Manager

KEY TASKS

1. Proactive day to day management of the Estate to ensure it is well maintained:

*Contract management including procurement, challenging performance when necessary and processing payment of contractors invoices.

*Promptly report any repairs required to the communal areas to our Client's repairing partner following up as required.

*Ensure all Fire Safety/Health and Safety and Safeguarding requirements are complied with.

*Establish the service charges for the Scheme. Investigate and respond to queries or disputes arising from service charges.

2. Making contact with all residents and being aware of any ill health and the needs of each resident.

3. To ensure that the emergency call system is working correctly at all times and report any faults promptly to the service provider.

4. Liaising with relatives, doctors, social services, and other welfare agencies.

5. To welcome any new or prospective residents.

6. Instructing new residents on the use of equipment installed by the Association.

7. Providing general support for the residents whilst allowing them to remain
independent.

8. Process assignment of leases and liaise with solicitors as required.

9. Investigate and respond to disputes arising from service charges or other lease issues.

10. Manage general consultation processes with leaseholders including organising leaseholder surgeries.

11. Responsibility for implementing statutory consultation processes (section 20) and dealing with enquiries and disputes that arise.

12. Deal with all applications requiring permissions under the lease, responding within set timescales and raising administration charges where the lease allows.

13. Ensure that the terms of the leases are enforced and that any breaches are dealt with immediately.

14. To attend Committee Meetings organised by the residents and ensure any actions arising from these meetings are noted and actioned promptly.

Finance

1. Ensure that all appropriate Administration Charges are raised and charged in accordance with the lease and legal requirements.

2. To process invoices ready for payment in accordance with agreed procedures.

Administration

1.Monitor and manage the delivery of all services and works e.g. cleaning, grounds maintenance, window cleaning and day-to-day repairs.

2.Maintain up to date records of the resident's doctors, next of kin and any care and support providers to include phone numbers and addresses and email address.

3.To keep records of all emergency telephone numbers and have them readily available.

4. To be responsible for the security of buildings (when on site).

5.To ensure that all communal areas, including external areas, are kept clean and free from rubbish and that the gardens are maintained according to seasonal requirements.

6. To deal with general correspondence and other relevant documentation as required via the computer system.
