Based at our Head Office in Islington.

We have an exciting opportunity for a highly capable individual to help us in increasing the quality and quantity of bids and to support successful delivery of all tender documentation. This role will require a highly motivated professional with excellent interpersonal and writing skills who will write all documentation, proof read and assist in bid co-ordination in collaboration with our commercial team.

This role will suit someone with bid and writing experience. The successful candidate will either have a degree that requires a substantial proficiency in writing with some experience in bid writing or bid management and /or have a number of years’ experience in a bid writing position. We require a candidate who is experienced with InDesign (Adobe) publishing software package this is highly advantageous though individuals with the ability and desire to learn new skills are welcomed.

Specific Duties:

  • Work within the company Bid Process procedure to support the delivery of high quality tender materials.

  • Maintain a good working knowledge of the company business practices and standards to ensure an appreciation of the broad scope of knowledge and content required to satisfactorily respond to tenders.

  • Use your experience and creative skills within the tender production process to ensure that the company is perceived as a quality solutions provider and the number one choice for its existing and prospective customers.

  • Develop an understanding of solution design and financial modelling of the security solutions business case to create a compelling return on investment bid proposal.

  • Be able to understand a tender question, and then being able to assemble a structured answer which provides both a technical response which is written in the context of company strategy, values, and unique selling points.

  • Have an understanding of the procurement processes of services management tenders in both the public and private sectors to ensure effective planning and compliance of the tender response. This understanding includes the types of procurement rules, the required types of response documentation, and the types of document return methods - including web portal systems.

  • Maintain good working relationships across the business.

  • Take ownership of returns to the appropriate customer portal. Returned documentation is to be submitted in the required compliant format by the appropriate deadline. Required formats may be print, email, MS Office or other customer specified document formats.

  • Manage communications with, and responses of, bid materials into customer systems for regionally led bids.

  • Ensuring the Central Bid function remains the primary collating authority for customer portals. The sales support executive is responsible for updating the Commercial Team on any tenders submitted by the regional team and providing copies of the submitted bid response.

  • Organise work to meet deadlines for completion, including the re-balancing of workload to fit changing priorities. The sales support executive will be able to work under pressure to meet tight deadlines.

  • The sales support executive will support maintenance of the central Bid Library. This includes providing any descriptions of standard business processes, specialist product and service business propositions, case studies and tender submissions to the central Bid Writer & Content Librarian.

  • Have an excellent working knowledge of the company’s current workflow and document production systems which are Microsoft Office based: Word, PowerPoint, Excel and Outlook.

  • Develop a working knowledge of other systems as required.

  • Will be a good oral and written communicator. The company international language is English. The standard of written English (grammar and spelling) is required to be excellent.

  • Will be able to work well in a team environment including engagement with central teams.

  • Be able to think out of the box and seek innovative solutions when supporting on bids

  • Responsible for any other duties as directed by the Commercial Director to ensure support of the bid process as required.

  • Writing the bids, including ITT (invitation to tender), PQQ (Pre-Qualifying Questionnaires)

Essential criteria to meet:

  • Be polite, helpful and diligent, with a 'can do’ ethos, wanting to learn and develop

  • Have excellent IT skills to use Email, Word, Excel, Powerpoint effectively including InDesign (Adobe)

  • Be flexible and reliable to meet all role requirements, with minimal supervision

  • Have effective time management skills and the ability to work to deadlines

  • Ability to interpret complex documents

  • Proactive with intuition

  • Ability to motivate and work as part of a team / communicate with additional teams internally and externally

  • High quality, clear and concise writing style

  • Strong interpersonal skills

  • Excellent communication skills

  • Organised and self-motivated to produce high quality results

  • Strong attention to detail

  • Success in writing documentation for successful bids, tenders, proposals or presentations

  • Relevant professional experience in bid writing or highly allied experience

Desirable criteria to meet:

  • Be educated to Degree level or have the relevant skills and experience

  • Experience in the facilities management industry is highly advantageous, however all industry experience within the bid writing sector will be considered

  • Have excellent communication skills, both written and verbal

  • Be smart and well presented at all times

  • Have a confident demeanour to liaise with managers and directors
